You will join a high-performing branch supporting a senior executive in a fast-paced and dynamic environment within the Federal Government/APS. You will play a key role in ensuring the smooth operation of a busy office, working closely with internal and external stakeholders while contributing to the delivery of important outcomes.
Your new role
As the APS4 Executive Assistant, you will provide high-level administrative and executive support to an Assistant Secretary. You will act as the first point of contact for the office and manage a broad range of responsibilities, including:
- Complex diary and email management
- Coordinating and monitoring action items to ensure deadlines are met
- Preparing briefing materials and meeting documentation
- Managing incoming enquiries and correspondence
- Liaising with stakeholders across government and external organisations
- Coordinating domestic and international travel, including acquittals
- Managing credit card reconciliations
- Supporting ministerial correspondence and submissions through PDMS
- Organising meetings, venues, catering and related logistics
- Maintaining accurate records and information management systems
- Providing administrative support across the broader division when required
- Working closely with senior executive support staff to coordinate priorities and deadlines
What you'll need to succeed To be successful in this role, you will have worked in a similar role in the Federal Government/APS. You will demonstrate:
- Previous experience providing executive or administrative support within a busy setting
- Robust organisational skills and the ability to manage competing priorities
- Excellent written and verbal communication skills
- The ability to build productive working relationships with stakeholders at all levels
- A proactive approach and strong attention to detail
- Sound judgement and problem-solving skills
- The confidence to ask questions and seek clarification when required
- The ability to quickly learn new systems and processes
- Advanced skills across the Microsoft Office Suite
- A flexible and adaptable approach to changing priorities To be considered for this role, you will need to be an Australian citizen and hold a Government Security Clearance at the Baseline level or higher.
