Job Title: Chinese Speaking Operations Coordinator – Solar & Battery Solutions

Overview

We are seeking a highly organised, detail-oriented, and customer-focused Chinese Speaking Operations Coordinator to manage the end-to-end operational process from sale through to installation and rebate completion. This role ensures solar and battery installations are scheduled, delivered, documented, and rebated accurately, compliantly, and in a timely manner.

You will act as the key coordination point between customers, installers, electricians, sales, logistics, rebate bodies, and other internal teams, ensuring smooth delivery, clear communication, and complete records across all projects.

Key Responsibilities

Installation & Operations Coordination

- Schedule solar and battery installations promptly after sales are initiated, ensuring installations are typically completed within one month of sale
- Source, engage, and coordinate with qualified installers and electricians
- Allocate jobs efficiently based on customer and installer’s availability, location, and project requirements
- Coordinate product delivery with the logistics team to align with installation schedules

Rebate Submission & Compliance

- Prepare, submit, and manage rebate applications (including STCs and applicable state-based rebates) in accordance with regulatory requirements
- Collect and verify all required documentation from installers, electricians, and customers for rebate submissions
- Ensure rebate applications are accurate, complete, and submitted promptly after installation completed




- Track rebate approval status and follow up on outstanding or rejected submissions
- Maintain up-to-date knowledge of rebate rules, compliance requirements, and scheme changes

Records & Data Management

- Maintain accurate records of all sales, installations, rebate submissions, approvals, and installer details
- Ensure all project, installation, and rebate data is correctly recorded in the CRM and internal systems
- Conduct basic checks to ensure documentation completeness and data accuracy

Communication & Stakeholder Management

- Maintain clear and professional communication with customers, installers, electricians, sales, logistics teams, and rebate bodies
- Ensure all parties have explicit and accurate information to avoid delays or compliance issues

Sales & Technical Support (Operational Focus)

- Support sales teams by ensuring system details, installation requirements, and documentation are operationally accurate
- Assist with basic system and product coordination where required
- Liaise with sales to ensure smooth handover from sale to installation

Reporting & Team Collaboration

- Provide timely updates on installation and rebate progress to the supervisor
- Escalate risks, delays, or compliance issues proactively
- Support continuous improvement of operational and rebate processes

What we’re looking for:





- Proven experience in operations coordination, scheduling, rebate administration, or project coordination
- Proven experience in solar sales or technical support within the renewable energy industry
- Strong understanding of inverter and battery technologies, grid connection requirements, and system performance concepts
- Strong understanding of STC and rebate processes, or willingness to learn quickly
- Proficiency in Mandarin Chinese and fluency in English
- Excellent organisational, documentation, and time-management skills
- High attention to detail and accuracy
- Strong communication skills and ability to work across multiple teams and external partners
- Ability to manage multiple projects simultaneously in a fast-paced environment
- Ability to explain complex technical concepts to non-technical customers
- Proficiency with CRM systems and Microsoft Office Suite
- Experience with design platforms like OpenSolar is highly desirable
