About The Role Sitting within our Legal, Risk & Compliance team, this unique hybrid role combines high-level Executive Assistance with specialised Board Administration. You will serve as a warm, trusted partner to C-suite leaders and Board Directors, managing executive daily workflows while ensuring our Board and Committee governance cycles run with administrative elegance and seamless efficiency.
Please note: This is a temporary contract assignment offering a wonderful opportunity to bring your dual EA and governance expertise to a dynamic corporate team.
Key Responsibilities
Board & Governance Administration
- Board Cycle Orchestration: Coordinate end-to-end meeting cycles—managing calendars, room setups, video calls, and thoughtful agenda creation.
- Board Pack Delivery: Collaborate with senior stakeholders to curate, assemble, and distribute polished board packs in a timely, stress-free manner.
- Minutes & Action Tracking: Attend Board and Committee meetings to capture clear, precise minutes, tracking resolutions and action items.
- Entity & Record Management: Maintain statutory registers, ASIC updates, and entity management systems (such as CAS 360) with complete confidentiality and discretion.
Executive Support
- Executive Care: Provide proactive EA support to senior leaders, including complex calendar coordination, inbox management, and drafting correspondence.
- Travel & Expenses: Manage seamless travel logistics, accommodation arrangements, and expense reconciliations for Directors and Executives.
- Director Onboarding: Support welcoming, high-touch onboarding experiences and ongoing engagement for incoming Board members.
- Process Improvement: Bring your natural intuition and forward-thinking mindset to continuously refine administrative systems and governance practices.
What You’ll Bring
- Experience: 5+ years of experience in a combined EA and Board/Governance support role (experience within an ASX-listed or corporate environment is highly desirable).
- Technical Savvy:
Proficiency in CAS 360, Board portals (e.g., Diligent), and advanced skills across the Microsoft Office Suite.
- Proactive Intuition: Highly cluey and insightful, with a natural knack for anticipating executive and Director needs before they arise.
- Warm Stakeholder Engagement: Exceptional emotional intelligence, discretion, and confidence when building meaningful relationships with senior leaders.
- Detail-Oriented & Composed: Flawless organization, outstanding document management skills, and a calm, graceful approach to managing competing priorities.
