Full-Time | Permanent | 4 Days in Office, 1 Day WFH An exciting opportunity has become available for a highly experienced Executive Assistant to join a vibrant and collaborative financial services team in Melbourne's CBD.
This is a pivotal and highly visible position combining senior-level executive support with responsibility for the smooth day-to-day running of the office. You will work closely with the CEO, Executive Team and broader business, providing proactive support while creating an organised, professional and engaging office environment.
The Role:
Working closely with the CEO, you will provide high-level executive support while acting as a central point of coordination across the office.
Your responsibilities will include
- Proactively managing the CEO's diary, inbox, priorities and competing deadlines
- Coordinating meetings, conferences, events and travel arrangements
- Preparing and collating presentations, briefing papers, correspondence and meeting materials
- Liaising with Directors, Executives and key internal and external stakeholders
- Providing back-up support across Board administration when required
- Acting as the central point of contact for office-related matters
- Managing office facilities, supplies, equipment and general day-to-day operations
- Coordinating relationships with external suppliers, building management, IT providers and other vendors
- Maintaining a professional and welcoming front-of-house workplace
- Coordinating meeting room requirements, visitors, couriers and deliveries
- Managing office projects, maintenance,
equipment requirements and upgrades
- Organising internal events, celebrations, team activities and company functions
- Coordinating travel arrangements for employees as required
- Supporting workplace health and safety requirements
- Assisting with ad hoc projects and broader business support requirements
About You:
- Extensive experience supporting a CEO or equivalent C-Suite executive, ideally around 5 + years
- Previous experience within financial services or another highly professional corporate environment
- Demonstrated stability and strong tenure throughout your EA career
- Office management or broader business operations experience
- Exceptional diary, inbox and priority management capabilities
- Strong stakeholder management skills with confidence communicating across all levels
- Excellent written and verbal communication skills
- A high degree of discretion, integrity and confidentiality
- Advanced proficiency across Microsoft Office, including Outlook, Word, Excel, PowerPoint and Teams
- Strong technology and systems capability
- The ability to anticipate requirements and operate proactively rather than reactively
- Exceptional attention to detail with the ability to manage multiple competing priorities
- A collaborative, approachable and service-focused working style
