About The Role

Click here to view position description The Executive Services Administrator provides high-level administrative support to the Executive Services Team, including the Chief Executive Officer (CEO) and Senior Management Team (SMT). This role is integral in ensuring the smooth operation of executive functions by managing correspondence, scheduling, travel arrangements, and the preparation of key meeting materials.

The Executive Services

Administrator will assist with Corporate Services Projects, if required. In addition, the role will provide reliable support to the Corporate Services Administrator,



including relief coverage during lunch breaks, leave periods and/or other circumstances as required.

Duties

- Provide high-level administrative assistance to Senior Management Team (SMT) and Executive Services, including document preparation, data entry, and record management.
- Manage SMT diaries, schedule meetings, book meeting rooms, coordinate events and catering enquiries, ensuring all logistical needs are met.
- Organise travel itineraries/bookings and expense claims for staff and executives as required.
- Format and distribute internal and external communications as required (annual uniform refresher, staff notice communications).
- Manage feedback and complaints with care and respect with the aim to deescalate and resolve if possible.
- Build positive relationships with Corporate Services staff and teams to support delivery of services to the wider organisation.
- Focus on customer service excellence when engaging with visitors to head office, and when assisting ATSICHS staff outside of Corporate Services.

- Base Salary of $72,039 per annum (Based on qualifications and experience).

COVID-19 Requirements Immunisation history showing you have received two doses of a Covid-199 vaccine is encouraged.

Required

- Two or more years' experience in a reception/administrator/office assistant role.
- Certificate III in Business Administration or proven work experience in a similar administrative role.
- Effective interpersonal skills, including a high standard of customer service skills and a professional phone manner.
- Advanced level of proficiency with the Microsoft Suite.
- Demonstrated ability to effectively communicate to internal/external stakeholders.
- National Police Certificate.
- Working with Children (Blue Card) or be eligible to apply.
- Driver's Licence.
- Evidence of Work Rights.
- Travel between work sites on a regular basis.

Preferred

- Experience working with an Aboriginal and Torres Strait Islander organisation.
- Ability to communicate and collaborate with other teams and individuals.
