Who We Need
An experienced and highly organised legal assistant to provide administrative and practice management support to a Principal and two lawyers in the Law and Trade Marks team. This role is central to the smooth running of the practice and requires exceptional time management, attention to detail, initiative, and the ability to stay several steps ahead in a fast‑moving legal environment.
Key Responsibilities
- Monitor and take appropriate action for incoming correspondence, including triaging, filing and categorising emails to reduce the traffic to the Principal, acknowledging emails and responding to requests for information, updating the database where required
- Manage case deadlines through use of internal systems, reporting mechanisms and case management data to diarise and update critical dates and ensure timely instructions
- Maintain accurate and up to date matter records, workflows and status reports
- Act as a key point of contact for clients, IP offices and internal stakeholders, providing professional,
timely and personable communication with the support and instructions from the Principal and lawyers
- Oversee client onboarding, including running conflict checks and preparing cost agreements
- Manage the fee earners WIP (Work in Progress) and debtors lists and other business hygiene reports.
- Maintain and understand special requirements of the fee earner’s external clients.
- Deal with sensitive and confidential issues/matters.
- Work in a team environment and enlist the assistance of other team members or provide assistance to other team members to ensure work is completed to a high standard and deadlines are met.
- Work in accordance with predetermined workflow processes, ensuring delegation and escalation pathways are followed including delegation of tasks to other teams within the firm.
About You
- Previous experience as an IP Secretary or Legal Assistant
- Strong experience with EOM billing, including WIP management, client invoicing and applying client-specific billing requirements.
- Experience using IP case management software, specialised IP databases and accounting or finance systems is highly regarded
- Strong organisational and time management skills,
with the ability to manage competing priorities and meet deadlines.
- A proactive, service-driven and adaptable approach, with the ability to work autonomously and as part of a team-oriented team.
- Excellent communication skills, with a high level of attention to detail and accuracy and the ability to build strong relationships with clients and colleagues.
