About You :

Certificate III or IV in Business Administration or equivalent practical experience

Additional training in operations management, WHS, procurement, or office management is advantageous but not mandatory.

Position Summary :

The Administration Officer is a critical enabling role at RN Labs. It exists so that the business simply runs — accurately, compliantly, and without interruption — allowing the leadership team to focus forward rather than inward.

This is the central hub for administrative control across the business. The Administration Officer is the gatekeeper: the person who owns tasks, sees them through to completion, and ensures nothing is missed, delayed, or left sitting on someone else's plate. Much of what this role does is invisible when it's working well — and that's the point. The expectation is not that things get escalated; it's that they get done.

The role provides direct support to the Operations Manager and meaningful operational relief to the Customer Service, Accounts, and wider team — absorbing defined responsibilities, keeping processes centralised and under control, and protecting team capacity so the right people can focus on the right things.

Key Requirements :

Minimum 3 years' experience in office or operations administration in an SME environment where self-sufficiency and initiative are required.

A natural finisher — takes ownership, sees tasks through, and takes pride in things being done properly without being asked twice.

High accuracy across data entry, records management, and communications; robust attention to detail.

Proven experience coordinating suppliers, contractors, or facilities — comfortable managing external parties and holding them accountable.

Confident working across multiple functional areas simultaneously; effective at prioritising competing demands.

Experience with ERP/CRM systems and structured operational processes.

Sound analytical capability — able to compile data, identify patterns, and present findings clearly.

Excellent written and verbal communication; professional and discreet.

Proficient in Microsoft Office Suite, particularly Excel.

WHS administration or compliance coordination experience.

Background in healthcare, pathology, supplements, pharmaceuticals, or professional services.





Familiarity with purchasing, procurement, or accounts support functions.

Experience supporting or leading an office relocation or facilities project.

Familiarity with practitioner-only health or testing services.

Understanding of TGA, IATA compliance, or GMP requirements (training provided).

Job Responsibility :

Administration — Centralised Control & Gatekeeper Function

The backbone of the role. All business-wide administrative functions are owned and managed here — correspondence, records, scheduling, document control, data entry, and reporting. Tasks arrive at this role, get actioned, and get finished. The Operations Manager and team leads are not drawn into work that can and should be resolved at this level. Broad support is provided across HR administration, onboarding/offboarding coordination, office supplies, and ERP/CRM data integrity — including customer account setup, invoicing, and credits. This role is the reason things don't fall through the cracks.

Customer Service & Order Support

A reliable secondary point of contact for order processing, sample recording, and account support — managing all interactions with accuracy and care. Works closely with the Warehouse and Testing teams to resolve urgent requests, backorders, and dispatch issues, and steps in to support the CS team during peak periods or absences without disruption to service continuity.

Administers the purchase order process end-to-end — raising POs, tracking acknowledgements, reconciling deliveries, maintaining supplier records and pricing schedules, and ensuring receipting and invoice matching is accurate and timely. Discrepancies are flagged and resolved promptly. Provides bank reconciliation backup to the Accounts team when required — stepping in seamlessly, without errors or delays.

Work Health & Safety — Whole of Business Administration

The single administrative owner of WHS for RN Labs. The WHS register,



incident logs, hazard reports, corrective actions, staff certifications, contractor inductions, insurances, and SWMS (if required) are all maintained here — current, accurate, and audit-ready at all times. Workplace inspections, first-aid audits, and equipment checks are completed on schedule and on record. This function does not require prompting; it is owned proactively. Potential to formalise as First Aid Officer and/or Mental Health First Aider.

Facilities & Building Management

The primary point of contact for all building, facilities, and equipment matters. A preventative maintenance schedule is actively managed — routine servicing, compliance checks (fire, electrical, essential services), and reactive maintenance are handled before they become issues. Contractors and tradespeople are engaged, inducted, supervised, and held accountable. The asset register is kept current. Facilities spend is tracked and reported monthly. The upcoming office/site relocation is a key deliverable for this role — acting as operational project lead across landlord and fit-out coordination, IT, utilities, removalists, and internal communications, with business continuity maintained throughout.

Operational Analysis & Reporting

Compiles, analyzes, and reports on operational data to support management decisions — facilities costs, supplier performance, purchasing activity, WHS metrics, and general business operations. Maintains and improves trackers, registers, and dashboards. Identifies trends, anomalies, and inefficiencies, and presents findings clearly. Supports ad-hoc analysis requests across departments as required.

Collaboration, Compliance & Quality

Works closely with the Warehouse, Sales, Testing, Technical Support, Customer Service, and Accounts teams. Maintains strong product and process knowledge; adheres to all SOPs, TGA, privacy, and regulatory requirements. Actively contributes to continuous improvement and quality initiatives. Additional tasks as reasonably required.
