Aubreen Veterinary Hospital is seeking a dedicated Veterinary Receptionist to join our team on a part-time basis. Based in Collaroy Plateau, NSW, this role is fundamental to the smooth operation of our integrative veterinary practice. As the first point of contact for our clients and their beloved pets, you will be instrumental in creating a positive experience that sets the tone for their visit. This position plays a crucial role in ensuring efficient scheduling, maintaining client relationships, and supporting our veterinary professionals in delivering exceptional care to pets in our community.
Key responsibilities
Greeting clients and pets warmly upon arrival and managing the reception area to ensure a welcoming setting
Scheduling and confirming veterinary appointments using practice management software
Processing payments and managing financial transactions with accuracy and professionalism
Processing insurance claims for owners
Answering telephone enquiries and directing calls to appropriate staff members
Maintaining accurate client and patient records in accordance with veterinary and privacy regulations
Assisting with general administrative duties, data entry, client record maintenance, email and phone correspondence
Supporting the clinical team by maintaining an organised front of house and clear concise communication
Promoting veterinary services and products to clients when appropriate
Managing waiting areas and ensuring cleanliness and organisation of the reception space
What we're looking for
Previous experience working in a veterinary practice, medical facility or similar customer-facing administrative role, desirable but not essential, our priority is always finding the right personality and positive attitude
Excellent communication and interpersonal skills with the ability to remain calm and professional under pressure
Strong organisational abilities and attention to detail in managing multiple tasks and appointments
Proficiency with computer systems and experience using practice management software (desirable but not essential)
A genuine passion for animal welfare and a comfortable demeanour around pets of all kinds
Ability to work independently and as part of a supportive team
A high level of emotional-intelligence
Professional telephone manner and strong customer service orientation
High level of discretion and confidentiality when handling sensitive client and patient information
