Medical Receptionist / Administration Officer

Re-Fit Physiotherapy – Rouse Hill, NSW

Re-Fit Physiotherapy is a growing allied health practice providing high-quality physiotherapy, rehabilitation, and NDIS services across Sydney. We are seeking a friendly, professional, and highly organised Medical Receptionist / Administration Officer to join our team at our Rouse Hill clinic.

This position is currently part-time, with a clear pathway to full-time employment for the right candidate from 2027 as we continue our expansion and open our new Bella Vista clinic.

About the Role

As the first point of contact for our clients, you will play a vital role in ensuring the smooth day-to-day operation of the clinic. You will be responsible for providing exceptional customer service while managing a variety of administrative and reception duties.

Essential Requirements

✔ Previous experience working in a medical, physiotherapy, or allied health clinic ✔ Strong working knowledge of Cliniko (essential)

✔ Experience using Tyro Health and HICAPS claiming systems (essential)

✔ Excellent communication and interpersonal skills

✔ Strong organisational and time management abilities

✔ Ability to work independently and as part of a team

✔ High attention to detail and accuracy

✔ Proficient computer and administrative skills

Key Responsibilities





- Managing appointment bookings and diary scheduling through Cliniko
- Greeting patients and providing outstanding customer service
- Processing payments through Tyro Health and HICAPS
- Managing Medicare, private health, NDIS, DVA, and WorkCover enquiries
- Handling incoming phone calls, emails, and patient correspondence
- Maintaining accurate patient records and documentation
- Processing invoices and assisting with accounts administration
- Supporting clinicians with general administrative tasks
- Ensuring the reception area remains professional and welcoming
