Membership Administration Officer (Part Time Contractor)

Hours: Approximately 7 hours per week (flexible working hours) Rate: $28.00 per hour
About APPTA:
The Australasia Pacific Play Therapy Association (APPTA) is the peak professional association representing Play Therapists across Australia and the Asia Pacific region.
Since its establishment in 2007, APPTA has been committed to advancing the profession of play therapy through qualified standards, advocacy, accreditation, education, and member support. As our membership continues to grow, we are seeking an organised and customer-focused Membership Administration Officer to help deliver an exceptional experience for our members.
About the Role:
This is an excellent opportunity for someone who enjoys administration, customer service, and working with online systems.
Working remotely and reporting to the Membership Chair and APPTA Manager, you will be responsible for the day-to-day administration of APPTA's membership program. You will ensure membership applications and renewals are processed efficiently, maintain accurate records, provide exceptional member support, and assist in the ongoing management of APPTA's online membership platform.
This role is ideal for someone who is highly organised, enjoys working independently, and takes pride in delivering excellent service.
Key Responsibilities:
Membership Administration
- Process new membership applications, renewals, upgrades and cancellations in accordance with APPTA policies.
- Verify membership eligibility and supporting documentation, preparing applications for review by the Membership Committee.
- Maintain accurate and up-to-date membership records, including member details, qualifications and payment information.
- Monitor membership status and ensure the timely administration of membership processes.
Member Support & Communication
- Provide professional, responsive support to prospective and existing members via email and the online membership portal.
- Prepare and distribute member communications, including welcome emails, renewal reminders and other membership updates.
- Deliver a high standard of customer service, resolving enquiries and escalating issues where appropriate.
Systems & Website Management
- Maintain APPTA's membership management system, ensuring data accuracy and identifying opportunities to improve processes and workflows.
- Update membership-related content, online forms and resources within the APPTA WordPress website.
- Troubleshoot basic membership system and website issues, escalating technical matters when required.
Reporting & Administration
- Prepare membership reports, statistics and trends for the Board and Membership Committee.
- Assist with record management, audits and the secure handling of confidential member information in accordance with APPTA policies and privacy legislation.
Collaboration & Continuous Improvement
- Work collaboratively with the APPTA Manager, Board, committees and volunteers to support membership services and organisational initiatives.
- Contribute to the continuous improvement of membership processes, systems and the overall member experience.
About You You are an organised, proactive administrator who enjoys supporting people and improving systems. You have excellent attention to detail, communicate professionally, and are comfortable working independently in a remote environment.
Essential Skills & Experience
- Previous experience in administration, membership services, customer service or a similar role.
- Experience using CRM or membership management systems.
- Experience using WordPress, including updating website content.
- Excellent written and verbal communication skills.
- Robust organisational skills with the ability to manage competing priorities.
- High level of accuracy and attention to detail.
- Proficiency with Microsoft Office and/or Google Workspace.
- Ability to work independently while collaborating effectively with a remote team.
- Commitment to maintaining confidentiality and handling sensitive information appropriately.
Desirable
- Experience working within a not-for-profit, professional association or membership-based organisation.
- Understanding of membership administration and governance processes.
- Knowledge of Play Therapy, mental health or the allied health sector.
- Experience using online event or membership platforms.
