We're looking for an exceptional Executive Assistant & Office Manager to join our Melbourne Head Office on a 15-month maternity leave contract. While this role is initially fixed term, we are a growing business and there may be an opportunity for the right person to transition into a permanent position.

What you'll be doing

You’ll become the trusted right-hand person to our CEO while providing support across our Executive Leadership Team. You'll also be responsible for ensuring our Melbourne Head Office continues to run smoothly, creating an organised, welcoming and professional workplace for our team.

Your day could include...

- Managing the CEO's busy diary, inbox and meeting schedule
- Supporting the Executive Leadership Team with administration and coordination
- Organising domestic and international travel
- Coordinating global travel bookings for our wider team, including visa applications
- Preparing presentations, reports and meeting documentation
- Managing meeting rooms and executive events
- Assisting with projects and research
- Taking minutes and following up action items from weekly executive meetings
- Coordinating office operations, suppliers and contractors
- Ordering office supplies, catering and staff amenities
- Supporting staff events, celebrations and social activities

You will bring:

We're looking for someone who genuinely enjoys making other people's jobs easier.

- Previous experience as an EA/PA supporting senior executives
- Confidence in managing competing priorities, solving day to day issues and working calmly across multiple stakeholders.
- Outstanding organisational and time management skills
- A proactive mindset with excellent problem-solving skills
- High levels of professionalism, discretion and confidentiality
- Confidence using Microsoft Office, Outlook, Teams, PowerPoint and Excel
- Experience with Canva or similar design tools will be highly regarded
- Excellent organisation, communication and stakeholder management skills.
- A proactive, adaptable approach and the ability to manage changing priorities.
- Strong judgement, professionalism and discretion when handling sensitive matters.
- A high level of initiative, ownership and attention to detail.
- Experience in office coordination and professional, service oriented style
