We are looking for a part time ICT Project Coordinator to maintain, support, and continuously improve systems while ensuring they remain reliable, efficient, and aligned with business needs.
This is a hands-on role designed for someone building a career in IT support, business systems, and automation. You will provide day-to-day technical support to users, administer and optimise our Zoho applications, troubleshoot system issues, maintain system documentation, support user onboarding and training, and assist with implementing new features and process improvements across the business.
This is not a role where you simply respond to support tickets and move on. You will work within a real business systems environment, helping users resolve technical challenges, improving workflows, maintaining reliable systems, and ensuring our business applications continue to support the organisation as it grows.
1. What We are Looking for:
Qualification / experience in Project Management, IT, Business Systems, Information Systems, Computer Science, or a related field and equivalent practical experience.

1.3 Nice to have:
- 1.3.1Hands-on experience with the Salesforce or Zoho ecosystem (Zoho Projects, Desk, CRM, Books, Creato, etc.) is ideal.
- 1.3.2Exposure to project management or testing methods such as Agile, Scrum, UAT or regression testing, formal or informal.
- 1.3.3Experience with any helpdesk, CRM, ticketing or business systems platform.
- 1.3.4Basic understanding of scripting, workflows or automation concepts. No coding background is required,
as code-based training will be provided.
- 1.3.5Previous experience in a coordination, support, admin or detail-heavy role.

3. Key Responsibilities: What You’ll Own From the Start
3.1 Project Planning and Delivery
Your first major focus will be bringing structure to our systems project pipeline so work is properly scoped, prioritised and finished. This will include:
- 3.1.1Breaking larger initiatives into clear, achievable stages.
- 3.1.2Setting realistic timelines and tracking delivery against them.
- 3.1.3Keeping a single, visible view of what is in flight, what is next and what is blocked.
- 3.1.4Running projects through Zoho Projects and keeping records tidy as you go.
Over time, the delivery pipeline will become your home turf.
3.2 Stakeholder Coordination
You will be the connection point between the IT function and the rest of the business. This includes:
- 3.2.1Gathering requirements from sales, operations, accounts and support teams.
- 3.2.2Turning business requests into well-defined project briefs.
- 3.2.3Keeping stakeholders informed with clear, honest status updates.
- 3.2.4Helping manage priorities when everything feels urgent at once.
3.3 System Administration & Support
- 3.3.1Troubleshoot system issues and resolve technical problems promptly
- 3.3.2Perform routine system monitoring
- 3.3.3Onboarding new team members - account setup, email signatures, system access, and related IT requirements.
3.4 Testing and Quality Checks
Nothing you plan ships untested.
You will own the quality gate at the end of every project. This includes:
- 3.4.1Testing Deluge functions and workflows before changes go live.
- 3.4.2Running regression checks so existing automation keeps working when something new is added.
- 3.4.3Hunting edge cases: missing fields, unusual records, currency quirks and unexpected user behaviour.
- 3.4.4Verifying integrations between CRM, Books, Inventory, Desk and Sign behave end to end.
- 3.4.5Spot-checking that records, price books and currencies stay consistent across modules.
3.5 Documentation
Good documentation is a major part of this role. You will record plans, decisions, tests and outcomes as projects move, so our delivery history is properly captured and not dependent on one person’s memory.
This includes:
- 3.5.1Project briefs and scoping documents.
- 3.5.2Status reports and meeting notes.
- 3.5.3Test plans, reusable test cases and clear bug reports.
- 3.5.4Decision and change records.
- 3.5.5Handover and closure documentation.
4. What You’ll Grow Into
As your confidence builds, you will run a growing slate of automation and systems projects end to end, from first scoping through to tested, shipped outcomes:
4.1 Knowledge Base Bot
An automation that reviews resolved service requests and helps turn them into draft knowledge base articles. You will scope it, manage the build and make sure the drafts it produces can be trusted.
A support bot that suggests likely fixes when a customer raises a known issue. It lives or dies on careful testing and staged planning, so your judgement will decide when it is ready for real customers.
4.3 Probe Compatibility Web Scraper
A tool that checks transducer supplier information for compatibility with medtech devices. Your job is keeping scope tight and verifying its output against real supplier data.
Scoping the setup of Zoho TrainerCentral for client onboarding, then testing course flows, enrolment and content as it comes together.
4.6 Broader IT and Business Systems Work
As the role develops, you may also coordinate and quality-check wider projects across Zoho, Microsoft 365, process automation, documentation, security and internal operations.
