COREASSIST PTY LTD CoreAssist Pty Ltd is seeking an experienced and motivated Office Manager to join our team in Yagoona, NSW. Reporting to senior management, the Office Manager will be responsible for coordinating and overseeing office administration functions, improving operational systems, supporting compliance requirements, and ensuring effective day-to-day business operations. The successful candidate will play a key role in managing administrative processes, coordinating internal operations, supporting staff management activities, and contributing to continuous improvement across the organisation.

Task & responsibilities

- Coordinating and managing daily office operations to ensure organisational objectives and office functions are effectively achieved.
- Developing, implementing, reviewing, and improving administrative systems, procedures, workflows, and office processes.
- Managing office resources, facilities, equipment, supplies, and administrative processes to support efficient business operations.
- Coordinating staff rosters, schedules, workforce requirements, and administrative activities through internal systems.
- Maintaining accurate organisational records, including employee files, participant records, service documentation, agreements, contracts,



and operational records.
- Managing paperwork, documentation, and information associated with office operations, projects, and service delivery activities.
- Supporting staff onboarding, induction processes, and administrative training activities.
- Reviewing attendance records, timesheets, and supporting payroll, invoicing, and administrative reporting processes.
- Monitoring administrative compliance requirements, including NDIS Practice Standards, workplace health and safety obligations, organisational policies, and relevant legislative requirements.
- Providing administrative guidance and support to management on operational matters and matters requiring attention.
- Advising senior management on administrative and operational issues and assisting with the implementation of management decisions.
- Liaising with employees, clients, families, service providers, professionals, and external stakeholders to coordinate services and achieve organisational goals.
- Responding to enquiries regarding organisational programs, services, and administrative processes.
- Preparing reports, maintaining documentation, and providing information to support management decision-making.




- Identifying opportunities to improve administrative efficiency and implementing continuous improvement initiatives.

Qualification & experience

The successful candidate will have:

- Demonstrated experience in office management, administration coordination, or a similar role.
- Experience managing office systems, procedures, workflows, and operational processes.
- Strong organisational and time management skills with the ability to manage competing priorities.
- Excellent communication and interpersonal skills with the ability to liaise with internal and external stakeholders.
- Experience maintaining confidential records and supporting compliance requirements.
- Ability to identify operational issues and contribute to business improvement initiatives.
- Relevant qualification in Business Administration, Management, or a related discipline is desirable; or Demonstrated relevant experience in office management and administration.
