The Opportunity

We are seeking an experienced Administrator to join our Victorian team and play a pivotal role in managing the end-to-end administration of sales contracts across our development portfolio.

Working closely with Sales, Development, Marketing, Finance and external legal partners, this roleis responsible foroverseeing the contract lifecycle from preparation and exchange through to settlement, while ensuring an exceptional customer experience. This is ahandson, autonomous role suited to adetail drivenprofessional who enjoys ownership, stakeholderengagementand continuous improvement.

Key Responsibilities

- Manage the preparation,administrationand settlement of sales contracts acrossallocatedprojects
- Coordinate contract exchanges, manage conditional contracts and monitor key milestone dates including finance approval, titles issue and settlement
- Liaise with sales consultants, development managers,solicitorsand external stakeholders to ensuretimelyandaccuratecontract progression
- Maintainaccurateproduct,customerand contract data within the CRM system, including recent releases, pricingupdatesand cancellations




- Prepare interim and final settlement statements and process sales incentives,rebatesand referralspost settlement
- Providehigh qualitycustomer service support, responding tocontract relatedqueries and managing expectations through to settlement
- Prepare reports and analysis to support management of conditional sales,settlementsand performance trends
- Identifyopportunities to improve systems, processes andtimeframesacross contracts and settlement activities
- Support the Sales Manager with reporting, special projects and general administrative requirements as needed
- Assistwith purchaser enquiriesand settlement process

About YouQualifications & Experience

- Minimum2years’ experience in an administrative role. Experience in building,propertyor land contracts administration (desirable)
- Offtheplan conveyancing or paralegal experience highly regarded
- Solid understanding of contracts, finance approval processes and settlement procedures (desirable0
- Tertiary qualifications or Diploma/Certificate in Business Administration or related disciplines is highly desirable.
