Accounts & Payroll Officer

About us
Sanctuary Early Learning Adventure is a family-owned early childhood education and care group operating six centres across Queensland: Ashmore, Buderim, Highfields, Southport, Maudsland, and Redlynch. We support more than 200 staff and the families in our care, backed by a close-knit Head Office team.
About the role
We are seeking an experienced Accounts & Payroll Officer to join our Head Office team, based at Smith Collective in Southport. This is a hands‑on role covering the full accounts and payroll function for the group, in a collaborative, team-focused environment. The role includes some general admin for the Head Office team, cash flow projections for the group in conjunction with the Head of Finance. General duties include accounts payable, receivable, cash flow management, STP reporting, award wage management. Professional development opportunities will be available after the probation period has been completed. You will be the go‑to person for accurate, on‑time payroll and well‑managed accounts, working closely with our Finance function and our centre teams. Typical hours are between 8:00am to 4:30pm.
Key responsibilities
- End-to-end payroll processing for a workforce of 200+ across six centres on alternate fortnight pay sequences, including STP reporting and Payday Super
- Accounts payable: processing invoices, supplier payments, and reconciliations
- Accounts receivable: fee management, follow‑ups, and reconciliations
- Bank reconciliations for bank accounts and credit card accounts
- Preparing cash flow projections to support financial decision‑making
- General administration duties supporting the Head Office team
- Maintaining accurate records and supporting month‑end processes
- Keeping up with the award pay rate changes for Children’s services award
- Approved vs Expensed Wages reporting comparisons for Leadership team to utilise
What you’ll bring Essential
- High level of Xero proficiency
- Proven payroll experience, including STP (Single Touch Payroll)
- Solid accounts payable and accounts receivable experience
- Cash flow projection capability
- Robust attention to detail, discretion, and the ability to consistently meet deadlines
- Microsoft Office suite including Work, Outlook, Excel and Power Point.
Desirable
- Knowledge of the OWNA childcare software payroll process (a significant advantage, though this can be learnt)
- Keypay software as this is similar to what is in OWNA
- Understanding of the childcare industry and CCS (Child Care Subsidy) payments and Kindy Funding
- Experience in a multi-site or comparable environment
