About the Role:
Due to the company's growth, TTATCON is seeking a proactive and friendly individual for an Project Administrator / Administrator Officer position that can start Immediately.
This is a Full Time position for 40 hours per week.
This is a dual role which will consist of Projects Administrator / Administrator Officer.
In this customer-facing role, you will be the first point of contact, welcoming clients and conducting meet-and-greets with professionalism and enthusiasm.
In addition to customer interactions, you will handle various administrative duties, including managing phone calls, invoicing, and general office tasks, as well as assisting the team members and project manager.
This role is perfect for someone who enjoys a mix of customer service, administration, and hands-on work in a fast-paced environment.
Key Responsibilities:
Accounts Receivable/Payable using Xero
Data entry and reconciliation of statements
Accurate and timely processing of supplier invoices
Claims investigations and debtor control
Accounts inbox management
Perform general administrative duties, including answering phone calls and managing invoicing
Accept deliveries and process stock put away efficiently
Assist with laser calibrations of products to ensure quality standards
Support day-to-day operations with other ad hoc tasks as needed
First point of contact and customer communications via phone call, email and walk ins.
Maintain and strengthen customer and supplier relationships
Provide administrative assistance for the project and carry out work as directed by the Project / Construction Manager
Assist in all administration requirements of the project
Establish and maintain project document registers and arrange for the distribution of approved documents
File, control and maintain all project related records and documents
Matching invoices to purchase orders and delivery dockets and obtaining authorisation from relevant staff
Assisting with site inductions and the submission of WHS, licensing and compliance documentation
Assisting with the preparation of monthly progress claims and supporting compliance documentation

Comfortable with handling phone calls and invoicing
Capable of receiving deliveries and efficiently processing stock put away

Skills & Experience:
Proficiency in Microsoft Office
Experience in accounting software Xero
Strong communication skills and conflict resolution techniques
High attention to detail
Ability to use initiative and work productively without supervision
Experience in Accounts payable role
Some understanding of construction materials and methods
Some knowledge of contract administration principles, some understanding of tendering principles
Ability to monitor and maintain the document management and filing system of the project
Excellent time management, organisational and planning skills
Good verbal communication, ability to write clearly and concisely
High level of attention to detail
High level of Microsoft Office computer literacy
