Design Room and Production Coordinator

The role
This role is the engine room of our design studio.
You will keep the sampling and development process moving from first proto through to production, working closely with our entire Design team.
You will handle samples, trims, fabrics, fit sessions and the day to day coordination that keeps a collection on track.
It involves managing time critical production milestones, ensuring samples, approvals and deliveries stay on schedule, and escalating risks to delivery dates early.
It suits someone with garment knowledge who loves organisation and adhering to deadlines.
You understand construction and fit, you can read a fit comment and know what it means for the pattern, and you take pride in a studio where everything has a place and nothing gets lost.
What you will do
Sample and studio management
• Log samples in and out across each development stage and keep the sample racks and archive in order
• Coordinate samples going to and from shoots, stores, wholesale and PR, and make sure they come back
• Maintain the seasonal sample archive and press samples ready for use
• Keep trims, labels, swing tags, fabric swatches and lab dip records organised and easy to find
• Set up the studio for fit sessions, range reviews and sell in meetings
• Create and maintain line sheets accurate and up to date
• Create product records in CIN 7
• End to end SMS order process
Development and fit support
• Measure incoming samples at every stage, check measurements against spec sheets and record any variances as required
• Check incoming samples against specs and flag construction, fabric or quality issues early
Fabric and trim coordination
• Order trims, labels, swing tags and packaging,
and monitor stock levels so nothing runs out
• Track lab dips, strike offs and fabric approvals, and keep records of what has been approved
• Maintain the fabric library with current swatches, composition details and supplier information
Production coordination
• Negotiation FOB rates
• Keep the critical path and WIP trackers up to date and chase due dates with suppliers
• Track sample and bulk deliveries and help resolve delays or discrepancies
• Track purchase orders
• Support quality checks on incoming production and help manage any faults or supplier claims
Freight and Inventory
• Organise inbound freight from suppliers, including booking shipments, liaising with freight forwarders and customs brokers, and tracking arrivals through to delivery
• Inventory control between Cin 7 and WMS systems in our 3PLs
Shoots, PR and marketing support
• Prepare, steam and pack samples for campaign and ecommerce shoots
• Assist on shoot days with garment care, changes and sample handling where needed
Wholesale support
• Prepare and manage wholesale sample sets for showroom appointments and agency use
Studio and office administration
• Manage incoming and outgoing post, parcels and courier bookings for the studio
• Keep shared files, trackers and folders organised and up to date
• Provide general administrative support to the design and operations team as needed
What you will bring
• A qualification in fashion design or garment technology, or equivalent hands on experience
• Some garment construction, pattern and fit knowledge, and strong fabric and textile understanding
• Exceptional organisation and attention to detail, and a calm approach under deadline pressure
• Transparent, friendly communication with makers, suppliers and the wider team
• Cin 7 experience preferred
