Administration & Reception – Neira Psychology
Full-time or 4 days per week | Fremantle | Starting from 7:45am
Neira Psychology is a well-established private psychology practice located on Wray Avenue in Fremantle. We provide psychological services to adolescents and adults and have a friendly team of experienced psychologists and administration staff.
We are looking for a warm, capable and highly organised administration and reception person to join our team.
This is an important role within our practice. You will be the first person many of our clients see when they arrive, and often the first person they speak to when they call or email. We're looking for someone who genuinely enjoys helping people, takes pride in doing things well, and can keep on top of a busy day without becoming flustered.
We're looking for someone with a solid foundation in administration who has the capacity and enthusiasm to learn, develop and take on more responsibility over time.

What you'll be doing
Your role will be varied, but the focus is on keeping the practice organised, welcoming and running smoothly. Your day-to-day work will include:
- Opening the practice and preparing reception for the day
- Welcoming clients and providing a warm, skilled first point of contact
- Answering phones and responding to client emails and enquiries
- Managing appointments, bookings and cancellations
- Assisting new clients with the intake and booking process
- Liaising with psychologists throughout the day to help things run smoothly
- Processing payments, invoices and basic Medicare/private health administration
- Maintaining accurate client and appointment information
- General administration, data entry and correspondence
- Using our practice management and other computer systems
- Helping with the day-to-day organisation of the practice
- Taking on additional responsibilities as you become familiar with the practice and develop your skills
About you
We're looking for someone who has solid administration or reception experience and is confident working with computers and learning new systems.
You'll be someone who:
- Is warm, friendly and professional with clients and colleagues
- Is highly organised, reliable and detail-oriented
- Is confident with computers and comfortable learning new software and systems
- Can juggle competing priorities calmly and work independently when needed
- Has excellent communication skills and a proactive, helpful approach
- Understands the importance of confidentiality and professionalism in a healthcare environment
Experience in medical, allied health or professional services administration would be an advantage. Familiarity with Halaxy, Medicare or private health billing would also be helpful, but is not essential.
We're happy to teach you the psychology-specific aspects of the role and support you to develop your skills over time.
The practical details
Position: Administration & Reception
Location: Wray Avenue, Fremantle
Hours: Full-time or 4 days per week, Monday–Friday, starting at 7:45am
Finish time: We are open to discussing some flexibility around the finish time to accommodate school pick-up or other family commitments
Salary: $65,000–$70,000 + superannuation (pro rata for 4 days)
Parking: Free on-site parking
Please note that the role requires a 7:45am start, so applicants need to be comfortable with an early start.
