Administration Team Leader

As we continue to grow, we're looking for an experienced Full time Administration Team Leader to lead our administration team and support the day-to-day operation of our business.
Reporting to the Finance Manager, you'll lead a team of four Administration Officers while remaining hands-on in the delivery of administrative and business support services. You'll also receive training across key finance functions and provide support to ensure continuity of operations during periods of leave or increased business demand.
This is an excellent opportunity for an experienced senior administrator ready to step into their next leadership role.
Key Responsibilities
- Lead, coach and support a team of four Administration Officers.
- Allocate, prioritise and monitor workloads to ensure work is completed accurately and on time.
- Foster a positive, collaborative and customer-focused team environment.
- Oversee and support the day-to-day administration function of the business and support continuous improvement initiatives.
- Ensure exceptional customer service and professional reception standards.
- Process customer invoicing and assist with accounts receivable, including debtor follow-up and account reconciliations.
- Process supplier invoices and assist with accounts payable, including payment preparation and supplier account reconciliations.
- Assist with payroll preparation and associated employee administration.
- Prepare electronic bank payments for approval.
- Maintain accurate financial and administrative records, filing systems and business documentation.
- Coordinate purchase order administration and supplier documentation.
- Coordinate office facilities, stationery, travel, meetings and general office administration.
- Support the Finance Manager with reporting, budgeting activities and other finance and business administration functions.
- Provide leave cover for the Finance Manager by undertaking nominated finance and office administration responsibilities to ensure continuity of business operations.
- Ensure compliance with company policies, procedures and relevant legislative requirements
About You
To be successful in this role, you will have:
- Proven experience in accounts payable and accounts receivable.
- Knowledge and experience in payroll processing and associated employment legislation.
- Experience preparing electronic bank payments and performing bank reconciliations.
- Demonstrated experience using accounting software (experience with Tencia will be highly regarded).
- Strong capability with the Microsoft Office suite, particularly Excel.
- Experience leading,
mentoring or coordinating an administration or business support team.
- Excellent organisational skills with the ability to manage multiple priorities and meet deadlines.
- High attention to detail and a commitment to accuracy.
- Strong communication and interpersonal skills, with a customer-focused approach.
- A proactive mindset with the ability to identify and implement process improvements.
- High levels of integrity, discretion and professionalism when handling confidential financial and employee information.
- The confidence and initiative to make decisions, solve problems and support the Finance Manager in the day-to-day operation of the business.
- Experience in an engineering, manufacturing, construction or trade-based environment will be highly regarded.
