Just Better Care is a trusted provider of in-home care and support services. We are seeking an organised, proactive Administration Officer to join our team and support the smooth day-to-day operation of our office.
This is a full-time office-based role, working Monday to Friday from 8:30am to 4:30pm, with a strong focus on front desk reception, administration, compliance and customer service. This role is ideal for someone who enjoys variety, responsibility and being a key part of a supportive team environment.
About the Role
Reporting to the Administration Manager, you will play a key role in ensuring our administrative, compliance and finance processes are efficient, accurate and well-coordinated. As the first point of contact for visitors, customers, stakeholders and internal teams, you will provide a professional and welcoming experience while supporting the wider team with a range of administrative functions.
Key Responsibilities
Office Coordination
- Act as the first point of contact for office visitors, managing visitor sign-in procedures and maintaining a welcoming reception area.
- Support the day-to-day coordination of the office to ensure a qualified and organised environment.
- Order and monitor office supplies and amenities in consultation with the Administration Manager.
- Maintain a neat, organised and presentable office environment, including reception, meeting rooms, and shared spaces.
- Assist with meeting coordination, visitor hospitality, and general office administration.
Correspondence Management
- Manage shared office email inboxes, ensuring timely responses, and appropriate allocation of enquiries.
- Maintain professional written communication with customers, contractors, suppliers, referrers, and internal staff.
- Coordinate bulk participant, stakeholder,
and marketing communications across multiple platforms.
- Prepare and distribute customer notices, newsletters, service updates, and other organisational communications.
- Ensure all correspondence is accurately recorded and maintained within organisational systems.
Finance Administration
- Support accounts payable and receivable processing, including customer billing administration.
- Complete data entry and financial program compliance activities, including maintaining evidence of services delivered by associated providers.
- Assist with brokerage administration and support accurate billing, claiming and reporting.
- Maintain accurate financial records through high-quality administration and record management processes.
Compliance & Service Administration
- Support quality, compliance and continuous improvement activities through effective administration, including maintaining documentation, assisting with audits, supporting reporting requirements and contributing to process improvements.
- Support service program administration by maintaining accurate participant records, CRM data and electronic documentation.
- Work collaboratively across departments to provide efficient administrative support and maintain accurate records.
- Contribute to effective, compliant business processes and ongoing operational improvements.
General Administration Support
- Assist with employee, contractor, and stakeholder documentation as required
- Maintain electronic filing systems and ensure information is stored accurately and securely.
- Provide administrative support to the wider team, including projects and operational activities as required.
- Assist with general enquiries and provide exceptional customer service to clients, families and stakeholders.

You are organised, detail-focused and comfortable managing multiple priorities. You enjoy being the first point of contact for customers and visitors and take pride in creating a professional, welcoming and efficient office environment.
To be successful in this role, you will have:
- Proven experience in an administration, reception or customer service role
- Strong organisational and time-management skills with the ability to prioritise competing tasks
- Excellent written and verbal communication skills
- Experience managing shared email inboxes and written correspondence
- Sound computer skills, including Microsoft Office and CRM systems
- Ability to learn recent systems and processes quickly
- High level of professionalism, discretion and attention to detail
- A current NDIS Working Screening Check and Blue Card or willingness to obtain
Desirable but not essential:
- Experience in aged care, health, community services or not-for-profit sectors
- Knowledge of the Veteran Home Care program and/or Support at Home program
- Certificate IV in Business Administration, Finance or a related field
- Experience with MYOB or similar accounting systems
- Experience using rostering, CRM or workforce management systems
