About the role
Reporting to the Program Manager, you'll provide project and program support across the Asset Management & Performance Division. You'll play a key role in coordinating governance activities, maintaining documentation, supporting cost control and reporting processes, and ensuring actions and deliverables are completed on time. Working across multiple projects and stakeholders, you'll help create structure, consistency and visibility across the program.
Key accountabilities include:
· Coordinate Program Control Group, Steering Committee and other governance meetings.
· Prepare agendas, take minutes and manage action tracking.
· Support project reporting, cost control and program administration.
· Maintain project documentation and document management systems.
· Liaise with project managers, program managers and other stakeholders.
· Support annual Work Bank planning activities.
· Compile reports, presentations and business communications.
· Coordinate follow-up actions and support governance compliance requirements.
· Assist with purchasing, invoicing and general program administration activities.
· Contribute to efficient program coordination and delivery outcomes.
About you
You're an organised and proactive coordinator who enjoys bringing people, information and processes together. You build strong working relationships, communicate confidently with a range of stakeholders and take pride in delivering high-quality work with accuracy and attention to detail.
You may come from project coordination, program support, project administration or governance support, and you're comfortable working across multiple priorities while maintaining focus on deadlines and outcomes.
Our ideal candidate will possess the following:
· Experience in project coordination, program support or project administration.
· Understanding of project management principles and terminology.
· Experience supporting governance forums such as Program Control Groups, Steering Committees or similar.
· Strong meeting coordination, minute taking and action management skills.
· Experience supporting project reporting, cost control and documentation activities.
· Strong stakeholder engagement and relationship-building capability.
· Excellent written and verbal communication skills.
· Highly organised with strong planning and prioritisation abilities.
· Proficient in Microsoft Office and document management systems.
· Able to work independently and manage competing priorities.
· Strong attention to detail and a proactive approach to follow-through.
· Adaptable, collaborative and customer-focused mindset.

This position is covered by the V/Line Rail Operations and Administration Employees Agreement 2023 and offers a salary package from $94,897 inclusive of superannuation. A higher starting salary may be considered based on the successful candidate's skills, experience, and overall suitability for the role.
