Administration / Service Administration - Noble ParkMonday to Friday | Full Time Permanent | WFH 2 days a week | Onsite ParkingCorporate Benefits | Security & Stability | Career DevelopmentIndustry Experts | Quality & Innovative Products | High-Growth CompanyIn Vitro Technologiesis a Healthcare and Scientific distribution organisation who specialise in the sales, marketing, and support of medical products throughout Australia and New Zealand.ABOUT THE ROLE:We're seeking an organised and detail-oriented Service Administrator to join our Technical Service team in either Melbourne (Noble Park), or Brisbane (Springwood).
Working closely with our Technical Service Engineers, Sales, Warehouse and Customer Care teams, you'll play an integral role in ensuring service jobs are accurately processed from completion through to invoicing.
You'll coordinate service administration activities, support customers with service enquiries, maintain accurate records and help keep our service operations running efficiently.This is a varied role that combines administration, customer service and coordination.
If you're someone who enjoys working in a structured environment, takes pride in accuracy and likes seeing tasks through to completion, you'll thrive in this position.KEY RESPONSIBILITIES:Process service job sheets daily, ensuring all information is complete, accurate and ready for invoicingFollow up Technical Service Engineers and internal stakeholders to obtain outstanding service or financial information required to complete jobsRespond to Technical Service customer enquiries via phone and email, providing timely and professional supportAssist customers with service bookings, allocated jobs and invoice enquiriesProcess invoices,
credit requests and spare parts transfers in accordance with company proceduresMaintain accurate service records and ensure billable work is invoiced within required timeframesProvide backup support for warranty processing, service contracts and maintenance agreementsLiaise closely with the Technical Service, Sales, Customer Care, Warehouse and Distribution teams to ensure efficient service deliveryEscalate customer complaints where required and contribute to continuous improvement initiativesSupport the wider Technical Service Administration team as directed by the Technical Service Administration ManagerABOUT YOU:To be successful in this role, you'll be highly organised, process-driven and take pride in producing accurate work.
You'll enjoy working in a busy environment, following tasks through to completion and building positive relationships with both customers and internal teams.Ideally, you'll bring:Experience in service administration, customer service, scheduling or a similar administration roleExcellent organisational skills with the ability to manage multiple priorities and meet deadlinesStrong attention to detail and a commitment to accuracyConfidence communicating with customers and internal stakeholders via phone and emailThe ability to work independently while contributing positively to a cooperative team environmentA proactive approach to problem solving and continuous improvementIntermediate Microsoft Office skills, particularly Outlook, Word and ExcelExperience using Microsoft Dynamics 365 (particularly Field Service) would be highly regardedPrevious experience within the Healthcare,
