Operations - Workflow Coordinator
Create flow from customer order to production-ready.
Part Time / Casual Pathway | Kilsyth | Manufacturing & Construction ****** hours per week)
At Glencoe Group, we manufacture and supply timber roof trusses, wall frames, floor systems and structural steel to residential and commercial builders across Victoria.
As we've grown, we've recognised that one of the biggest opportunities to improve our business isn't on the factory floor—it's before production even begins.
We're looking for an organised, proactive person to become the central coordinator of our front-end workflow, ensuring every job moves smoothly from customer order through to production-ready.
This is a newly created role with genuine purpose.
It isn't simply an administration position—it combines administration, coordination, customer communication and operational support to keep work flowing through the business.
About the role
Working closely with our sales team, customers, estimators, detailers and operations team, you'll coordinate the journey of every job before it reaches production.
Your responsibilities will include:
Receiving and onboarding customer orders
Setting up jobs accurately within our systems
Coordinating drawings, plans and engineering documentation
Following up customers, suppliers and internal teams for outstanding information
Keeping customers informed of job progress
Identifying bottlenecks before they become delays
Supporting our estimators and detailers by ensuring they receive complete, production-ready work
Helping improve the overall flow of work across the business
This role is ideal for someone who enjoys bringing order to busy environments and takes pride in keeping people informed, organised and moving.
About you
You'll probably come from an administration, operations, production, manufacturing or construction environment where you've coordinated people, information and processes.
You'll bring:
Robust administration and organisational skills
Excellent attention to detail
A proactive approach to following things through
Confidence communicating with customers and internal teams
Experience using ERP or job management systems
The ability to juggle multiple priorities while remaining calm and organised
Experience within manufacturing, timber, construction or trade industries will be highly regarded but isn't essential.
