We're growing and looking for a Contracts Administrator to join our team and play a key role in delivering projects on time and within budget.
About the Role
This is a hands‐on, end‐to‐end Contracts Administration role supporting residential construction projects from procurement through to completion.
You'll maintain the company's high standards and be responsible for managing contracts, coordinating subcontractors and suppliers, tracking costs, and maintaining accurate project documentation.
As a boutique business, our team works collaboratively across all areas of the business.
You will be expected to step in, support different functions, and contribute beyond your core responsibilities when needed.
Key Responsibilities
Prepare, review, and manage contracts, subcontracts, purchase orders, and variations
Ensure quality control of contracts, ensuring to reflect project scope, pricing, timelines, warranties, and obligations.
Maintain contract registers and track obligations, milestones, and key dates
Manage tendering processes including RFQs, quote comparisons, and procurement scheduling
Coordinate subcontractors, suppliers, and ensure compliance (insurances, licences, WHS), including alignment with scheduling, budgets and timelines.
Process progress claims, invoices, and manage payment schedules
Track project costs, variations, and support forecasting and reporting
Liaise with project teams, consultants, and stakeholders
Maintain project documentation including RFIs,



site instructions, and meeting minutes
Assist with risk assessments related to contracts and provide recommendations to mitigate contract risk (delays, defective work, cost overruns).
Ensure compliance with NSW legislation, NCC, and residential building standards
Support broader business operations as required
About You
3+ years' experience in Contracts Administration (residential construction preferred)
Strong understanding of contracts, procurement, and cost control
Experience with variations, progress claims, and subcontractor management
Highly organised with strong attention to detail
Excellent communication and coordination skills
Proficient in construction software and Microsoft Office
Relevant qualifications in Construction Management, Building, or similar (desirable or experience equivalent)
