Prospect Landscapes is seeking a motivated Junior Project Manager / Contracts Administrator to join our growing team.
We're a Sydney-based landscape construction company delivering commercial, government and high-end residential projects across Sydney, Newcastle and regional NSW. With a strong pipeline of secured work and increasingly larger projects, we're looking for someone who wants genuine responsibility and the opportunity to grow with the business.
The Role
Working closely with the Managing Director, Estimator and Site Supervisors, you'll assist with the commercial and operational delivery of multiple landscape construction projects.
This is a client-facing position combining office-based contract administration with regular site involvement. You'll need to be confident communicating with clients, builders, consultants, subcontractors, suppliers and our internal site teams.
Your responsibilities will include:
Developing and maintaining strong relationships with clients and project stakeholders
Representing Prospect Landscapes at client, project and site meetings
Preparing and managing subcontractor and supplier packages
Assisting with procurement, purchase orders and material scheduling
Tracking project costs, budgets and forecasts
Preparing progress claims and managing variations
Reviewing drawings, specifications and project documentation
Preparing RFIs, notices and general contract correspondence
Maintaining project registers, records and compliance documentation




Assisting with project programs and resource planning
Coordinating with clients, consultants, suppliers and site teams
Regularly visiting projects to monitor progress and resolve issues
Supporting projects through delivery, completion and close-out
About You
We're looking for someone with proven construction industry experience who is ready to take greater ownership of project delivery.
You'll need to be personable, professional and confident representing the company. You should be equally comfortable managing documentation and commercial matters in the office as you are attending meetings, walking projects and working through practical issues onsite.
Ideally, you will have:
At least three years' experience within the construction industry
Previous experience working as a Project Manager and/or Contracts Administrator
A qualification in Construction Management, Project Management, Quantity Surveying or a related field
Experience managing subcontractors, procurement, progress claims and variations
A sound understanding of construction contracts, drawings and specifications
Strong commercial awareness and confidence working with project budgets
Strong interpersonal skills and a professional, approachable manner




Confidence communicating directly with clients and senior project stakeholders
Excellent organisation and attention to detail
Strong written and verbal communication skills
The ability to manage multiple projects and competing priorities
A practical, solutions-focused approach
The ability to work effectively in both office and site environments
A willingness to take ownership and contribute to the continued growth of the business
Experience within landscaping, civil works or external works would be highly regarded but isn't essential. More importantly, we're looking for someone reliable, commercially aware and capable of building strong relationships with both clients and site teams.
