The role
This is not a junior admin job.
We're after an experienced, switched-on Operations Coordinator to run the engine room of our office — someone who can take a job from the moment it lands to the moment it's invoiced, and keep our field team moving in between.
Reporting to our HR & Accounts and Office Managers, you'll:




Process incoming work orders and bookings
Coordinate and schedule our technicians, keeping every job flowing start to finish
Prepare quotes, raise invoices, and follow up outstanding accounts
Nurture our key client relationships — property managers, insurance builders, supervisors and builders
Build new client relationships
Coordinate site access with customers
Support marketing and client follow-ups
After sales follow ups and client retention
Answer the phones and keep customers informed
Solve problems on your feet — we want someone who thinks, not someone who asks
About you
Ideally 5+ years in a busy admin or coordination role — a trade or construction background is a big plus, but if you're sharp and learn fast, we're open
Confident, calm and organised when things get hectic — our office moves fast with a lot of balls in the air
Genuinely capable with systems — ServiceM8, Xero and Google Workspace, and comfortable using AI tools like Claude and ChatGPT (or keen to learn)
A natural problem-solver who takes ownership and runs with things
A strong, honest communicator
