Our Client, a Long-standing And Highly Respected General Physician, Is Seeking An Experienced Medical Receptionist/Administrator To Join Their Specialist Practice Located At The Mater Private Hospital, South Brisbane.
This Is a Permanent Part-time Opportunity Offering 24 Hours Per Week, With The Following Roster
Monday: 08:00am – 4:00pm (or 8:30am – 4:30pm)
Tuesday: 10:00am – 6:00pm (or 11:00am – 7:00pm)
Thursday: 08:00am – 4:00pm (or 8:30am – 4:30pm)
Flexibility to provide additional coverage during periods of staff leave will also be required.
Joining a small, supportive and close-knit team you will play a pivotal role in ensuring the smooth day-to-day operation of the practice while delivering a high standard of service to patients, referrers and stakeholders.
The successful candidate will bring previous experience working within a medical practice environment and possess exceptional communication, organisational and administrative skills.
Experience using Genie medical software will be highly regarded however, a positive attitude, willingness to learn and ability to adapt to practice-specific processes are equally important.
This is an excellent opportunity for a professional and compassionate Medical Receptionist/Administrator who enjoys working collaboratively within a specialist practice and values providing outstanding patient care and support.
Key duties and responsibilities will include (but not be limited to):




Welcoming patients and their family members to the practice and providing a professional, caring and positive patient experience (typically 5–8 patients per clinic).
Managing incoming telephone and email correspondence, responding to enquiries, requests and patient concerns in a timely and professional manner, while appropriately redirecting or escalating matters when required.
Preparing for and coordinating patient clinics, including scheduling and managing consultation appointments across both face-to-face and Telehealth settings.
Processing patient accounts and receipting, including Medicare, DVA and WorkCover Queensland claims and payments.
Reviewing and processing clinic correspondence and transcriptions using AI Lyrebird technology.
Liaising effectively with referring practitioners, specialists, allied health professionals, hospital departments and other key stakeholders.
Maintaining accurate patient records, including the management, scanning and filing of documentation within the electronic medical record system.
Undertaking general administrative and reception duties and providing support to ensure the efficient day-to-day operation of the practice and patient clinics.
Working collaboratively with the Senior Medical Secretary to maintain exceptional standards of patient care,



service delivery and practice administration.
In addition to the key duties and responsibilities, Candidates must be able to demonstrate:
A minimum of 12 months experience in a similar Medical Receptionist/Medical Administrator position, ideally within a private specialist practice environment.
The ability to work effectively both autonomously and collaboratively within a small team structure.
Previous experience managing the appointment schedule and administrative requirements of a solo Specialist.
A genuine commitment to delivering exceptional patient care and customer service.
Immaculate personal presentation and a professional approach at all times.
An exemplary telephone manner, coupled with a compassionate, empathetic and patient-focused demeanour.
Outstanding communication and interpersonal skills, with the ability to build positive relationships with patients, colleagues, referrers and stakeholders.
A proactive and self-motivated approach to work, supported by strong organisational, time management and prioritisation skills.
The ability to effectively multitask, remain calm under pressure and adapt to changing priorities within a busy practice workplace.
A high level of proficiency in Microsoft Word and Outlook.
Previous experience using Genie and/or Gentu practice management software will be highly regarded.
Remuneration
The practice is committed to attracting and retaining quality talent and as such offers a competitive remuneration package of $***** to $***** per hour plus superannuation, reflective of experience and capability.
