We are seeking a proactive and detail orientedCustomer Service Officer – Spare Partsto join our clients Customer Support team and play a vital role in delivering exceptional service to customers across Australia and internationally.
The Prospect:
As theCustomer Service Officer – Spare Parts, you will be the key link between customers, suppliers, logistics providers, and internal stakeholders, ensuring the seamless management of spare parts orders from enquiry through to delivery.
You will be responsible for processing quotations and orders, coordinating procurement and logistics activities, managing customer communications, and delivering an outstanding customer experience throughout the order fulfilment process.

Key Responsibilities:
Respond to customer enquiries regarding spare parts, pricing, availability, and delivery requirements.
Prepare accurate quotations and process customer orders efficiently.
Manage end to end spare parts order fulfilment, including procurement, supplier follow up, logistics coordination, and customer communication.
Coordinate both local and international spare parts orders.




Raise purchase orders and liaise with suppliers to ensure timely delivery.
Prepare customer invoices and process supplier invoices.
Coordinate import/export activities, including freight bookings, shipment tracking, and customs documentation.
Maintain accurate customer and order records within SAP and Microsoft 365 systems.
Monitor order progress and proactively communicate updates to customers.
Investigate and resolve customer complaints and service related issues.
Generate reports and analyse operational data to support business performance.
Contribute to continuous improvement initiatives and utilise approved AI tools to enhance efficiency and service delivery.
About You:
Minimum 3 years' experience in customer service, customer support, order management, or spare parts administration.
Experience managing quotations, purchase orders, invoicing, and logistics processes.
Strong customer service and stakeholder management skills.
Experience working with ERP systems, preferably SAP.
Proven ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.
Preferred Qualifications:
Certificate IV, Diploma,



or equivalent qualification in Business Administration, Customer Service, Supply Chain, Logistics, or a related discipline.
SAP or ERP systems training.
Import/export, logistics, or procurement related training.
Exposure to AI enabled workplace tools such as Microsoft Copilot.

Excellent written and verbal communication skills.
Strong organisational and planning abilities.
High attention to detail and commitment to data accuracy.
Strong problem solving and analytical skills.
Experience coordinating logistics and supply chain activities.
Proficiency in Microsoft 365 and ERP systems.
A continuous improvement mindset and enthusiasm for digital technologies and AI tools.
