Administration Assistant – Accounting and Business Services - Part Time

Due to continued growth, they are seeking an experienced Client Administration Assistant to join their friendly team on a part-time basis (up to 30 hours per week). The Role
To be successful in this role, you'll ideally have previous experience working within a public practice accounting firm. This will enable you to confidently navigate a busy professional environment, understand accounting workflows and provide outstanding support to both clients and the accounting team. Experience within a financial planning or other professional services environment will also be highly regarded.

Your key responsibilities include but are not limited to:
Being the welcoming first point of contact for clients via phone, email and in person, delivering a professional and friendly client experience.
Managing incoming client enquiries and resolving requests wherever possible.
Maintaining accurate client records and updating information within our practice management systems.
Liaising with the Australian Taxation Office (ATO), ASIC and other government agencies on behalf of clients.
Assisting clients with tax lodgement requirements and following up outstanding information.
Preparing, processing and lodging documentation as directed by the accounting team.
Preparing, issuing and following up invoices and assisting with accounts receivable processes.
Monitoring client correspondence, proposals and workflow to ensure deadlines are met.
Coordinating appointments, managing calendars and providing high-level administrative support to the team.
Assisting with office coordination and contributing to an efficient, organised and positive workplace.
Supporting the ongoing improvement of office systems, processes and client service initiatives.
Skills and Capabilities
The successful candidate will demonstrate the following skills and capabilities:
A high level of accuracy and attention to detail
Previous administration experience within a public practice accounting firm (highly regarded)
Outstanding verbal and written communication skills
Exceptional organisational skills with the ability to manage multiple priorities and meet deadlines
Strong computer skills, including Microsoft Office (Word, Excel and Outlook)
Experience using Xero, the ATO Portal, ASIC Connect and other accounting practice software
Experience with accounts payable and receivable processes
A proactive, solutions-focused approach with the ability to work independently and as part of a team
Confidence learning current technology and embracing improvements to systems and processes
A positive attitude, strong initiative and a genuine desire to contribute to a growing business
