Since welcoming two new partners in ****, PHV Law has been building on their strong leadership and reinvigorated vision for our long standing Fortitude Valley based firm. As part of our continued growth agenda, we are building a core team to develop, enhance and expand our service offering. Conveniently located close to Fortitude Valley train station and several major bus routes.
The Opportunity
This is a permanent, full time position from the outset, available for an immediate start. You'll begin with a handover from our current secretary, before formally covering her maternity leave from September this year, which may extend beyond twelve months. Once she returns and matters are handed back, a new role will be created for you. This may involve taking on more responsibility,



specialising in a particular practice area, or supporting the firm's continued expansion as new partners join.
We are looking for a Senior Legal Secretary to fill a key role, bridging the gap between the old way and the new way of working as we modernise and streamline our processes. This dynamic team player will work closely with the partners, providing input and guidance to further develop the role and implement administrative changes across the firm. You'll be joining a close-knit team of around 10 across the firm, working alongside our Fee Earners and fellow support staff. The primary function of this role is to provide crucial administrative and secretarial support for various Fee Earners, across different legal teams. Your typical responsibilities and routine duties will include:
Word Processing and Document Production - including transcription of dictation and carrying out dictated tasks, drafting, formatting and proofreading legal documents and correspondence, merging precedents and marking up draft documents and correspondence for review and collating various documents and compiling schedules or annexures;
File and Matter Management - including opening new matters in Affinity and initial matter detail data entry, carrying out conflict checks and due diligence procedures, sending out initial correspondence and costs agreements, scanning, filing, renaming and retaining paper/electronic records;
Client Liaison and Communication - including liaising with clients, barristers, and other legal professionals as required via phone, email, video conference or in-person,



contacting clients to arrange appointments and/or provide progress updates on their matters, screen incoming calls and address enquiries where appropriate;
Diary Management and Scheduling - including manage calendars/ diaries of multiple Fee Earners and resources and arrange meetings, conferences and travel and reschedule appointments as required.
Salary will ultimately be commensurate with the level of skill, competence, experience and quality of the candidate.

Skills & Experience
A minimum of 5 years' previous experience in a law firm in a similar role, including dictation
A proven typing speed of at least 60 WPM at 90% accuracy
The ability to work in a fast paced environment and meet deadlines
A proactive, solution orientated approach
Strong time management and organisational skills
A high level of accuracy and attention to detail
The ability to build and maintain client relationships
You must have the right to live and work in Australia to apply.
