About the Role

We are seeking an organised and detail-oriented Invoicing, Freight & Accounts Receivable Officer to join our team.

This is a varied administrative and finance position responsible for preparing customer invoices, booking freight, obtaining transport quotations, monitoring deliveries and supporting the company’s accounts receivable function.

The successful candidate will communicate regularly with customers, transport providers, warehouse staff, suppliers and internal departments to ensure orders are invoiced correctly, freight is booked efficiently and outstanding customer payments are followed up professionally.

Key Responsibilities

- Prepare and issue accurate customer invoices, credit notes and account statements.
- Review sales orders, purchase orders, delivery documents and pricing before invoicing.
- Book freight and transport services for customer deliveries and stock transfers.
- Obtain and compare freight quotations from transport providers.
- Select suitable freight options based on price, delivery timeframe and service requirements.
- Prepare consignment notes, shipping labels and freight documentation.
- Track deliveries and communicate delivery updates to customers and internal teams.
- Investigate delayed, damaged, missing or incorrectly delivered freight.
- Maintain accurate freight booking and delivery records.
- Allocate and reconcile customer payments against outstanding invoices.
- Monitor the accounts receivable ageing report.
- Follow up customers regarding overdue accounts by telephone and email.
- Resolve customer account and invoice discrepancies professionally.
- Send customer statements and payment reminders.
- Assist with new customer account setup and credit applications.




- Maintain accurate customer, pricing and payment information in the company system.
- Support month-end accounts receivable reporting and reconciliation.
- Work closely with the warehouse, purchasing, sales and finance teams.
- Maintain organised electronic and physical records.
- Assist with general administration duties when required.

About You

To succeed in this position, you will be organised, reliable and comfortable managing several tasks and deadlines at the same time.

You will ideally have:

- Previous experience in invoicing, accounts receivable, freight coordination, logistics administration or a similar position.
- Strong attention to detail and a high level of accuracy.
- Experience preparing invoices and following up outstanding customer payments.
- Knowledge of freight bookings, transport quotations and delivery tracking.
- Strong written and verbal communication skills.
- Confidence communicating with customers and transport providers.
- Good problem-solving and time-management skills.
- Intermediate Microsoft Excel and Microsoft Office skills.
- Experience using , Microsoft Dynamics, Business Central or another accounting or ERP system.
- The ability to work independently and as part of a team.
- A professional and customer-focused approach.

Experience in warehousing, distribution, automotive, marine, wholesale or inventory-based businesses will be highly regarded.
