We are looking for a dependable and motivated Warehouse, Inventory, Dispatch & Online Shop Coordinator to join our team on a full-time basis.

Role Overview

The Warehouse, Inventory, Dispatch & Online Shop Coordinator is responsible for managing the day-to-day operation of Edenvale’s Warriewood warehouse.

The warehouse supports orders from Edenvale’s online shop and small business customers, as well as the preparation and dispatch of samples and stock for partners, events and marketing activities.

This is a full-time, hands-on role combining responsibility for warehouse operations with practical order fulfilment and dispatch work. You will oversee inventory held at Warriewood, coordinate incoming and outgoing stock, ensure orders are processed accurately and on time, and maintain a safe, organised and efficient warehouse.

You will work closely with a part-time team member who focuses primarily on the website, AI and marketing aspects of the online shop, while continuing to assist with warehouse activities when required.

Key Responsibilities

Warehouse Operations

- Take responsibility for the day-to-day operation and organisation of the Warriewood warehouse.

- Plan and prioritise warehouse activities to ensure orders and internal requests are completed accurately and on time.

- Coordinate warehouse support provided by the part-time team member when required.

- Maintain efficient processes for receiving, storing, picking, packing and dispatching stock.

- Keep the warehouse clean, safe, secure and well organised.

- Identify and implement practical improvements to warehouse processes and workflow.

- Follow and promote safe handling, lifting and workplace safety practices.

Inventory and Stock Control

- Receive, check and store incoming stock and other deliveries.

- Ensure all incoming, outgoing and transferred stock is recorded accurately.

- Maintain accurate inventory records across Shopify, Cin7and other relevant systems.

- Monitor stock levels at Warriewood and arrange replenishment as required.





- Conduct regular stock counts and coordinate full stocktakes.

- Investigate and resolve inventory discrepancies promptly.

- Manage damaged, returned, quarantined or obsolete stock appropriately.

- Maintain clear and logical storage locations for products, samples and packing materials.

Online Shop Order Fulfilment

- Manage the operational fulfilment of orders placed through Edenvale’s Shopify store.

- Process, pick, pack and dispatch online orders accurately and efficiently.

- Monitor incoming orders and address any stock, delivery or fulfilment issues.

- Ensure orders are dispatched within agreed timeframes and meet Edenvale’s packing and presentation standards.

- Process order amendments, cancellations, returns and replacements as required.

- Ensure online inventory information remains aligned with available warehouse stock.

- Work closely with the team member responsible for the website and online shop marketing to support a smooth customer experience.

Small Business Customer Orders

- Process and fulfil orders from Edenvale’s small business customers.

- Coordinate carton quantities, stock availability, delivery requirements and relevant order documentation.

- Communicate with customers regarding order availability, dispatch and delivery when required.

- Ensure orders are processed and recorded correctly in the relevant systems.

Samples, Events and Marketing Support

- Prepare and dispatch product samples for business partners, customers, media, influencers and marketing campaigns.

- Coordinate stock and materials required for events, tastings, photoshoots and other sales or marketing activities.

- Ensure sample and marketing stock movements are recorded accurately.

- Work closely with the marketing and sales teams to meet deadlines and specific packing or presentation requirements.

- Arrange local or urgent deliveries when required.

Customer Service

- Respond to customer calls and emails promptly and professionally.

- Assist with product, order, stock and delivery enquiries.

- Investigate and resolve order errors, damaged deliveries and other fulfilment issues.

- Keep customers informed of delays or delivery problems.

- Escalate significant or sensitive customer matters to the appropriate team member.

Freight and Logistics

- Liaise with couriers, transport providers and suppliers to arrange pickups and deliveries.

- Track shipments and investigate delayed, missing or damaged deliveries.





- Resolve routine freight and delivery issues promptly.

- Coordinate stock transfers and replenishment deliveries to the Warriewood warehouse.

- Maintain accurate freight, dispatch and delivery records.

Systems and Administration

- Maintain accurate information in Shopify, Cin7and other relevant business systems.

- Complete stock adjustments, order updates and warehouse administration accurately and promptly.

- Maintain appropriate records for stock receipts, transfers, dispatches, returns and inventory adjustments.

- Provide basic reporting on stock levels, order volumes, fulfilment issues and warehouse requirements.

Warehouse Supplies and Equipment

- Monitor levels of cartons, packaging, labels and other warehouse consumables.

- Arrange replenishment of supplies before they run out.

- Ensure warehouse equipment is maintained, stored correctly and used safely.

- Report or arrange equipment repairs and servicing when required.

About You

We are looking for an organised, reliable and hands-on person who is comfortable taking responsibility for the day-to-day operation of a small warehouse.

You will be a great fit if you have:

- Previous experience in warehousing, inventory management, logistics, ecommerce fulfilment or a similar operational role.

- The ability to take ownership of warehouse priorities and manage daily workflows independently.

- Solid organisational and time-management skills.

- Excellent attention to detail and a commitment to order and inventory accuracy.

- A practical and proactive approach to identifying and resolving problems.

- Experience with Shopify, DEAR or similar ecommerce and inventory management systems, or the ability to learn them quickly.

- Good computer literacy, including email, data entry and basic spreadsheet use.

- Strong communication and customer service skills.

- The ability to coordinate and work effectively with part-time support.

- A collaborative approach and willingness to assist across a small team.

- Physical fitness and the ability to safely undertake manual tasks, including lifting, packing and moving cartons.

- Australian working rights or a valid work visa.

- A current Australian driver’s licence, forklift licence and previous experience in wine, beverages, FMCG or ecommerce would be advantageous.
