Wiggins Island Coal Export Terminal (WICET) is a world class, industry-owned and privately funded terminal located at the Port of Gladstone. This modern, state of the art terminal was built to expand the region’s coal export capacity, becoming operational in 2016. WICET is a $4 billion investment which operates with a high degree of automation and is committed to operating in a safe, environmentally friendly and socially responsible manner.
We are currently seeking a Systems Owner/Administrative Coordinator to be based in Gladstone, either in a part time or full time capacity. You will be joining a customer-focused team, truly dynamic in leading the way in delivering 27 million tonnes per annum and competing with the best in the marketplace. Applicants with full and part time availability will be considered for the role.
The Systems Owner/Administrative Coordinator will provide support to the Health Safety and Workplace (HSE) Manager, HSE team (whose responsibilities include Health and Safey, Environment, Training, Security, Emergency Response, Document Control, Community, Risk and Compliance), all WICET personnel and contractors as required. The role requires sound knowledge of administration and a heavy focus on management of online reporting systems/databases relating to HSE, industry and company standards and the ability to implement and improve HSE administration and online management/database systems. We are looking for a very organised and self-sufficient individual,
somebody who loves using and assisting others to use administration/online reporting systems/databases, who is passionate about health, safety and the environment with excellent interpersonal skills.
As the onsite Systems Owner/Administrative Coordinator for HSE activities your key duties will include:
Collating and distributing HSE related data/reports within set timeframes;
Maintaining the WICET SAI360/Evotix HSE System which includes risk, compliance, inspections/audits, incident and hazard management, and providing training and support to all users;
Developing and maintaining HSE KPI statistical records, HSE registers and schedules;
Assisting in managing and maintaining the Learning Management System and associated records;
Maintaining the HSE audit records and audit corrective action tracking;
Preparing and distributing daily prestart HSE communications, HSE Alert Notices, HSE Statistics, toolboxes and presentations;
Appropriately maintaining and filing all relevant HSE documentation (including records) within the various HSE and WICET Systems (ie: perform Document Management role for HSE Team);
Administering the procurement and payment of HSE related goods and services through the business finance system;
All general HSE administration duties as required.
You will offer:
Minimum Five (5) years’ experience in a systems/administrator or similar role, ideally in the HSE area in the heavy industry, mining and metals sector;
Certificate IV in Work, Health and Safety or above and/or Business Administration is desirable;
Hold a current Driver’s Licence (manual preferred);
Demonstrated proficiency in Microsoft Office applications – i.e. Excel, Word and PowerPoint;
Demonstrated ability and high-level understanding of online systems/databases, and best practice contemporary risk management approaches;
Experience in using SAI360/Evotix or similar is highly desirable;
Experience using JD Edwards, Gallagher site access, Learning Management Systems and Document Management Systems (Open Text) or similiar is desirable;
Demonstrated experience in dealing with HSE procedures and processes preferred;
Experience in research and data analysis to produce reports and presentations;
An ability to build relationships internally and across multiple locations delivering exceptional service.
