Wellspace Australia is seeking a motivated and capable Administration & Intake Trainee to join our remote national team while completing a Certificate III in Business.
This is a genuine entry-level opportunity for someone who learns quickly, takes initiative and is excited to develop broad experience across administration, participant intake, customer service, recruitment, marketing, compliance and business operations.
No previous experience is required. We are looking for someone with a great attitude, strong potential and a genuine willingness to learn.

About the Role
This is a varied, hands-on traineeship offering the opportunity to learn many different aspects of a successful national organisation.
With comprehensive training, mentoring and guidance, you will gradually build confidence, develop valuable business skills and take on greater responsibility.
Your role will include assisting with:
Referrals, Intake and Customer Service
- Answering reception calls and communicating professionally with participants, families, providers and stakeholders
- Monitoring shared inboxes and following up enquiries and requests
- Assisting with participant referrals, intake and allocations
- Gathering information and maintaining accurate participant records
- Supporting positive relationships with participants and referral partners
Recruitment and Team Member Onboarding
- Assisting with recruitment campaigns and job advertisements
- Reviewing applications and resumes
- Conducting initial telephone screenings with guidance
- Coordinating interviews, reference checks and onboarding activities
- Completing administrative and compliance checks for new team members
Marketing and Communications
- Preparing and publishing social media content
- Assisting with Canva designs, promotional materials and business resources
- Supporting marketing, networking and referral-generation activities
- Helping maintain a professional and consistent Wellspace presence across social media platforms
Administration and Business Operations
- Preparing, formatting and checking documents and correspondence
- Managing data entry, spreadsheets, records and registers
- Preparing meeting agendas and taking minutes
- Assisting with quality, compliance and continuous improvement activities
- Supporting basic invoicing, accounts administration and reporting
- Assisting managers and team members with daily tasks and projects
- Helping wherever required to support the smooth operation of the organisation
This is a true all-rounder role. No two days will be exactly the same, and you will be encouraged to ask questions, contribute ideas and get involved across the organisation.
About You

Experience or an understanding of administration, customer service, disability, health, aged care or community services will be highly regarded but is not essential.
Familiarity with Microsoft 365, including Outlook, Teams, Word, Excel and SharePoint, together with social media platforms or Canva, would also be beneficial. Training will be provided.
Remote Work and Travel Requirements
This position is primarily performed remotely. The successful applicant must have:
- A private and professional home workspace where they can work without interruption throughout the day
- Reliable internet access
- The motivation, reliability and communication skills required to work effectively within a remote team
- The flexibility and willingness to travel to attend regular in-person office days, team activities, training and other business events as required
Applicants may be based anywhere in Australia but must be willing and able to travel when required.
Pre-Employment Requirements
Before commencing employment, the successful applicant will be required to:
- Hold a current NDIS Worker Screening Check
- Hold a current Working with Children Check, or equivalent clearance applicable to their state or territory
- Have an active myID account to complete required NDIS Commission access and onboarding
Any offer of employment will be subject to these requirements being completed and verified.
