Medical Receptionist/Secretary Part-Time
Part time Medical Receptionist role – working for a busy surgical practice

The primary focus of this role is coordinating specialist consulting sessions, ensuring clinics run smoothly while providing professional administrative support to the team and delivering a welcoming experience for our patients.

The Practice
We are a highly regarded orthopaedic practice located at Newtown. Our practice specialises in hip and knee surgery, orthopaedic trauma, in addition to bone and soft tissue tumours.
Working with our team, you will be a part of a professional and very caring practice that excels in the forefront of this unique patient population, providinga high level of patient care.
Our practice is committed to strong work ethics and values and is seeking an experienced Medical Secretary that can be an ambassador of these ethics.
The practice consists of three administrative team members. In addition to this role,
we have a full time Practice Manager and a part time Medical Secretary whose role largely focuses on coordinating surgical bookings and theatre lists. Our team prides themselves on supporting each other with strong communication. We use Genie as our practice management software.
The Role
No two days are the same. Your role is diverse from co-ordinating consultation sessions and administration tasks, to liaising extensively with patients on the phone and via email, triaging referrals and organising detailed investigations and procedures.
With two part time members in the team, collaboration and excellent communication skills are very important to ensuring a smooth and effective patient journey and patient administration.
Some degree of flexibility will be required to provide coverage when other administrative team members are unwell or on annual leave.
The duties and responsibilities are:-
- You are the first point of contact/impression of the business so you will provide an outstanding level of customer service on the telephone, via email and in meeting and greeting patients
- Efficient management ofall patient data, appointments, procedures, clinical files, correspondenceand accounts
- Scheduling and maintaining accurate and confidential patient records within our practice management system
- Arranging imaging and other investigations for patients, as well as appointments with other specialists/health care providers
- Collating patient investigations in preparation for consultation sessions
- Liaising with other specialists and healthcare professionals
- Provide information to patients on practice services and fees
- Management of patient invoicing and receipting of consultations (including private billing, Medicare, DVA and third party billing)
- Contributing to the smooth and efficient running of the practice through a variety of administrative and reception duties
The ideal candidate will have the following attributes:-
- Previous experience as a Medical Secretary working for a specialistis highly regarded
- Knowledge of Genie softwareis desirable
- Warm, compassionate and caring manner towards patients
- Initiative and a pro-active attitude with a willingness to learnAbility to work in a fast-paced environment, to accurately multi-task and work well under pressure
- Excellent organisational and time management skills, in addition to strong written and verbal communication skills
- High level of attention to detail and accuracy is essential
- A problem solver who can think outside the square
- Excellent people skills to relate well to patients, staff and other healthcare professionals
- Enjoy working in a team environment
- Strong written and verbal communication
- Proficient skills in the use of Microsoft applications (in particular, Outlook and Excel)
