Job Description
- Provide high-level executive support to the CEO, acting as a trusted partner to ensure the smooth and efficient management of daily operations, priorities, and strategic objectives.
- Manage a complex and dynamic CEO diary, balancing competing priorities and exercising sound judgement to optimise executive time and business outcomes.
- Coordinate executive and leadership meetings, including agenda preparation, board and committee papers, minute taking, action tracking, and follow-up to ensure timely outcomes.
- Build strong relationships across all levels of the organisation, serving as a key point of contact for internal and external stakeholders while maintaining a professional, approachable, and service-oriented presence.
- Prepare, review, and format high-quality correspondence, presentations, reports, briefing papers, and executive communications with exceptional attention to detail.
- Handle confidential and sensitive information with discretion, integrity, and professionalism.
- Monitor and manage CEO email correspondence, prioritising critical matters and responding on behalf of the executive where appropriate.
- Coordinate domestic travel, events, leadership forums, and stakeholder engagements,
ensuring a seamless experience and attention to every detail.
- Support cross-functional initiatives and organisational projects, proactively anticipating needs and identifying opportunities to improve efficiency and effectiveness.
- Foster positive relationships throughout the business by maintaining a visible, collaborative, and responsive approach, contributing to a strong organisational culture.
- Provide flexible, solutions-focused support in a fast-paced environment, adapting quickly to changing priorities and executive requirements.
- Partner closely with senior leaders and support teams to ensure the CEO is well-prepared, informed, and positioned for success in all engagements.
The Successful Applicant
A successful Executive Assistant should have:
- Proven experience in providing executive-level support in a professional setting.
- Strong organisational skills with the ability to prioritise tasks effectively.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- A high level of attention to detail and accuracy in all tasks.
- Ability to maintain professionalism and confidentiality at all times.
- Experience in the financial services industry is highly regarded.
- Exceptional organisational and time management skills,
with the ability to manage competing priorities, navigate changing demands, and ensure seamless executive support.
- Outstanding written and verbal communication skills, coupled with strong judgement, discretion, and meticulous attention to detail.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and calendar management tools.
- Professional, polished, and approachable, with a natural ability to build trusted relationships and engage effectively with stakeholders at all levels.
- Proactive, resourceful, and solutions-focused, with the confidence to anticipate needs, take initiative, and work autonomously in a fast-paced environment.
- Strong stakeholder management capability, acting as a trusted liaison between the CEO, leadership team, Board members, external partners, and the broader business.
