Responsibilities
As the Administration Officer, you will provide high‑quality administrative support to the Research Program Director and the broader research program (~65 people across 3 States). You will manage the administrative aspects of the Program, including email and calendar management, issue management, workshop and meeting coordination, reporting and HSE registers.
- Provide practical support to the Research Director on stakeholder interactions, email, diary and travel.
- Ensure prioritised issues receive effective management and timely attention.
- Prepare and review correspondence and routine reports.
- Monitor and follow‑up on issues needing the Director’s attention.
- Assist the Research Unit EO or EA in coordinating materials for reviews, reports and information requests.
- Manage or contribute to administrative projects such as scholarship programmes, visiting scientists and publication records.
- Coordinate internal and external meetings or events, including booking rooms, resources, travel, transport, equipment and catering.
- Prepare meeting minutes and initiate follow‑up action.
- Provide general administrative support for program, group and team activities.
- Establish and maintain electronic document management systems in line with CSIRO’s record management standards.
- Maintain registers and logs related to operating requirements.
- Draft routine responses and correspondence, monitoring follow‑up actions.
- Develop and maintain functional networks to support effective Research Unit operations.
- Assist in preparing technical documents and presentation material.
- Help the Director manage email, prioritise tasks and meet deadlines.
- Resolve conflicting appointments and deadlines.
- Coordinate domestic and international travel arrangements for the Director and staff.
- Reconcile travel expenses, credit card statements, process payments and raise invoices.
- Maintain office supplies and equipment.
- Coordinate HSE matters on behalf of the Director.
- Other duties as directed.
Location and office arrangements
Kensington or Waterford,
Perth; Waite, Adelaide; Clayton, VIC
Salary
AU$76k – AU$96k per annum (pro rata for part‑time), plus 15.4% superannuation

Qualifications and experience
- Demonstrated experience providing administrative assistance to a line manager or team in a quick‑paced, complex environment.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams, OneDrive) and ability to learn corporate software packages such as SAP.
- Ability to work effectively in geographically‑dispersed teams and contribute positively to the environment.
- Clear written and verbal communication skills, establishing effective interpersonal relationships.
- Strong organisational skills, prioritising demands and escalating issues when required.
- Professional handling of sensitive and confidential information with appropriate judgement and discretion.
- Capacity to work with minimal direction, showing initiative and adaptability with competing demands.
- Quick adaptation to technological, structural and procedural changes, maintaining professionalism and flexibility.
Eligibility
Eligible applicants must be a CSIRO indefinite or specified‑term employee who has been previously appointed to an advertised vacancy via a competitive process.
Appointment is subject to provision of a national police check and may require additional security, medical, or character clearance.
