About the Role
This role is an operational owner of service delivery, responsible for ensuring the right clinician provides the right service at the right time while consistently meeting contractual obligations and delivering an exceptional customer experience. Working closely with our Operations Manager, Team Leaders and administration team, you'll coordinate referrals, clinician allocation, scheduling and service delivery to ensure patients receive timely, high-quality care while supporting clinicians to work efficiently.
You will take ownership of the end-to-end coordination of our services, ensuring every referral progresses efficiently from intake through to service delivery, reporting and completion. A key focus of the role is ensuring our contractual service level agreements (SLAs) are consistently achieved, while maintaining an exceptional experience for clients and referral partners.
Unlike a Team Leader, this role focuses on service delivery and operational excellence, rather than staff performance management or clinical supervision.
You will also maintain a small clinical caseload, allowing you to stay connected to patient care while providing clinical coverage when required.
Key Responsibilities
- Coordinate incoming referrals across Physiotherapy, Occupational Therapy and Podiatry
- Allocate referrals to clinicians based on location, capacity and clinical suitability
- Work closely with the administration team to optimise scheduling and minimise travel
- Monitor clinician capacity and proactively manage waiting lists
- Ensure reports and documentation are completed within expected timeframes
- Manage day-to-day service delivery issues and resolve scheduling challenges
- Liaise with support coordinators, care providers, hospitals, case managers and clients
- Monitor contract and funding requirements to ensure compliance
- Identify operational bottlenecks and implement process improvements
- Provide clinical support and urgent service coverage when required
- Work alongside the Operations Manager to continually improve service efficiency and patient experience
- Own and monitor service delivery performance against customer contracts and Service Level Agreements (SLAs), ensuring assessments, appointments, reports and communication are completed within agreed timeframes.
- Proactively identify referrals at risk of breaching contractual timeframes and coordinate clinicians, administration and external stakeholders to ensure timely delivery.
About You
We're looking for someone who enjoys solving problems, coordinating people and improving systems just as much as delivering excellent clinical care.
You'll ideally have

- Minimum 3 years clinical experience
- Robust understanding of community allied health service delivery
- Excellent organisational and prioritisation skills
- Confidence managing competing priorities in a fast-paced environment
- Outstanding communication skills with clinicians, referrers and clients
- Ability to think proactively and make sound operational decisions
- A passion for improving healthcare systems and patient outcomes
Leadership or operational experience is highly regarded but not essential.
Why Join Valens Care?
