We are currently seeking an organised and detail-focused Business Support Officer to join our Underground Mobile Maintenance team at Paddington Operations.

This is a varied position supporting the day-to-day administration, purchasing, reporting and coordination requirements of the Underground Maintenance Department.

About the Role

Reporting to the Underground Maintenance Superintendent, the Business Support Officer will provide administrative, purchasing and data-management support across the Maintenance Department.

The role will work closely with Supervisors, Planners, Trades, Purchasing, Accounts Payable, Supply, Finance and HSE to ensure maintenance administration and purchasing activities are completed accurately and within required timeframes.

Key responsibilities include

- Providing general administration and clerical support to the Underground Maintenance Department.
- Completing accurate data entry within maintenance and business systems.
- Preparing and distributing weekly and monthly maintenance reports.
- Maintaining department records, registers, filing systems and SharePoint libraries.
- Updating rosters, shift patterns, leave and coverage schedules when required.
- Raising purchase requests for goods, services, parts and consumables.
- Raising SAP parts reservations and tracking purchase requests and purchase orders.
- Following up goods receipting, invoices, delivery dates and outstanding orders.
- Investigating invoice discrepancies, coding errors and missing documentation.




- Maintaining statutory records and providing documentation for audits and inspections.
- Coordinating onboarding requirements for recent Maintenance employees.
- Arranging IT access, PPE, uniforms and induction bookings.
- Coordinating flights, accommodation and travel changes when required.
- Managing department consumables, stationery and general supplies.

About You To be successful in this role, you will have previous administration or business support experience, preferably within mining, maintenance or another operational environment.

Essential requirements:

- Previous experience in an administration or business support role.
- Strong attention to detail and accurate data-entry skills.
- High-level Microsoft Office skills.
- Strong organisational and time-management skills.
- Ability to manage competing priorities and meet reporting deadlines.
- Clear written and verbal communication skills.
- Current unrestricted Western Australian C Class Driver’s Licence.

Desirable:

- Previous experience within a mine maintenance environment.
- Experience with purchasing, purchase orders and invoice processing.
- Previous Entire, SAP or similar system experience.
- Current Senior First Aid Certificate.
