headspace is Australia’s National Youth Mental Health Foundation, providing early intervention support for young people aged 12 to 25 across mental health, physical and sexual health, alcohol and other drug services, and work and study support.

headspace Grafton has a vacancy for a part time (22.5 hpw) position of Receptionist. This position is available for immediate start and is funded until 30/6/27 subject to ongoing funding.

Reporting to the Administration Manager, the Receptionist role is to provide reception and administrative support to all members of the headspace Grafton centre team to facilitate a high level of care for young people and support for their family and friends. As the first point of contact with young people, it is essential that the reception team create a safe and non-judgemental environment for all clients and are courteous, compassionate and able to interact with a wide and diverse population.

Duties include but are not limited to:

- Answer telephone calls and respond to persons presenting at the reception desk in a prompt, polite, calm, respectful and compassionate manner
- Coordinate the scheduling of appointments with our Clinicians, Allied Health and Visiting Specialists, including confirmation of appointments and re-scheduling where necessary
- Ensure all referrals are promptly and correctly entered on to our management system, BP (Best Practice).
- Ensure clinicians receive all relevant documentation in a timely fashion to assist the care of their clients
- Ensure all Allied Health appointments have accurate referrals from a GP.
- Work collaboratively with other staff to ensure the smooth entry of new clients to the service.

What you will need to apply:
To be considered for this position, candidates will need:

- Demonstrated experience in office procedures, reception and administration duties
- Demonstrate capacity to work effectively as part of a multidisciplinary team
- Proven experience in providing excellent customer service
- Time management and organisational skills with proven capacity to prioritise work commitments
- Understand the privacy legislation and the importance of confidentiality
- A willingness and enthusiasm to gain new skills and a passion to work with youth.
- Current NSW Working with Children Check (WWCC) or willingness to obtain prior to commencement

- And desirably, experience using medical practice software (particularly Best Practice) or working in a youth mental health service.
