Part-Time — Hybrid

Part-time. Spring Hill QLD 4000. Hybrid (in office + work from home). Above market remuneration.

The Environment

The Suites at Wickham House is a private psychology and psychiatry practice located within the heritage-listed Wickham House in Spring Hill. Our rooms are calm, light-filled and thoughtfully designed. Every interaction — from the first phone call to the close of day — is conducted with discretion, warmth and professionalism.

The administrative team is not peripheral to this experience. It is foundational.

The Opportunity

We are seeking an experienced Medical Receptionist and Administrator to join us part-time. This is a long-term opportunity — not a stepping stone. We are looking for someone who wants to grow with a practice they can feel genuinely proud of.

The right person for this role has been here before — in a GP clinic, a psychiatry practice, or a psychology centre. They understand the rhythms of a clinical environment and can hit the ground running.

The role includes a meaningful work-from-home component alongside a presence at our Spring Hill rooms. Hours are to be negotiated but will span our core operating window, Monday to Friday. Occasional evenings and Saturdays for seminars are shared collaboratively across the team.

The Role

While the environment feels calm and composed, the work is dynamic, precise and intellectually engaging. You will navigate complex clinician schedules, manage detailed reporting, draft precise professional correspondence, oversee financial processes and respond confidently when the unexpected arises.

- Managing complex clinician diaries with foresight and strategic organisation

- Delivering a calm, attentive front-of-house experience

- Processing Medicare claims, invoicing and reconciliations

- Drafting and quality-checking reports and formal correspondence

- Liaising with clinicians,



GPs and referral partners with clarity and discretion

- Maintaining reporting systems and administrative accuracy

- Identifying workflow inefficiencies and contributing thoughtful improvements

- Opening and closing the practice as required

Who You Are

You are exceptionally detail-oriented, naturally organised and steady under pressure. You see administration as a profession, not just a job. You take genuine pride in precision and understand that thoughtful administration directly supports meaningful clinical work.

- Substantial experience in a GP, psychology or psychiatry practice — with the ability to hit the ground running

- Familiarity with practice management software such as Zanda, Gentu or Clinic to Cloud is highly regarded

- An established understanding of referral relationships and how they work in a clinical setting is genuinely valued

- Advanced written communication skills and confidence drafting formal documentation

- Outstanding accuracy and attention to detail

- Strong analytical and problem-solving capability

- Professional, composed and empathetic communication

- The capacity to work autonomously while contributing to a high-performing team

You will be a trusted face in our professional network — liaising regularly with GPs, specialists and allied health providers. An established understanding of referral relationships and how clinical networks operate is genuinely valued.
