Executive Assistant – Corporate and Governance

The City of Swan is looking for a highly organised, extremely proficient Executive Assistant for our Executive Director Corporate and Executive Manager Governance. This position is being offered on a Fixed term basis from 16 February 2026 until 1 January 2027.

The Executive Assistant for the Corporate Division and Governance business unit is responsible for the provision of an productive and effective high level, daily business coordination service to the Executive Director Corporate and Executive Manager Governance to enable them to focus on strategic issues.

This is achieved through undertaking a key liaison role between the Mayor, Councillors, Executive Team, leadership group and other major stakeholders; high level diary and active correspondence management and coordination; providing efficient and prompt administrative support to meetings; prioritising and providing responses and actions to complex and high-volume requests as well as undertaking research and preparing reports and presentations for the Executive Director and Council.

Key Accountabilities include, but are not limited to:

- Be a key liaison role between Council Members, CEO, Executive Team, leadership group and other major stakeholders.
- High level diary and correspondence management and coordination.
- Efficient coordination of meetings.
- Prioritise and provide responses and actions to complex and high-volume requests.
- Research and prepare reports and presentations for the Executive Director and Council.

About you

The successful candidate will have the following:

- Relevant diploma, tertiary degree or equivalent experience.
- Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail.
- Proven ability to be adaptable to various competing demands and demonstrate the highest level of customer service and response.
- Very strong interpersonal skills and the ability to build professional relationships with stakeholders,



including staff, Councillors and members of the community.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Satisfactory National Police Certificate is required.

The salary for this position will be from $84,485.93 to $100,282.66 per annum, depending on the skills and experience of the successful applicant.
