The Speech Tree is a heart centred paediatric and adolescent speech pathology clinic in Melbourne’s outer east. We support neurodivergent children, teens and their families through neuro affirming, evidence based care. Our client care team is central to creating a warm, accessible and steady experience for families.
With a senior client care team member moving on, we are seeking a Client Experience Co-ordinator to become the calm, organised hub of our front desk and client care team.
About the Role
This is a hands on, lead front desk position responsible for supporting families, clinicians and daily clinic flow.
Responsibilities include:
Front of House Leadership
- Welcoming families with warmth and professionalism
- Overseeing daily front desk operations
- Supporting and guiding our small admin team
Client Enquiries and Onboarding
- Managing phone and email enquiries
- Triage of referrals and waitlist management
- Onboarding new families, including forms and service agreements
Bookings, Diaries and Logistics
- Managing clinician calendars, appointments, cancellations and reschedules
- Supporting smooth daily flow across terms and holidays
- Coordinating rooms and on the day clinic logistics
Payments and Admin Systems
- Taking payments and issuing invoices
- Supporting NDIS, plan managed and private billing processes training provided
- Maintaining accurate client records in our practice management system
General Clinic Support
- Liaising with IT, trades and suppliers
- Identifying system improvements
- Working closely with the Clinic Director and Clinical Lead
About You
We are looking for someone with both administrative experience and genuine warmth.
You will bring:
- Experience in a front desk or admin role in allied health, medical, dental, community health or similar
- Confidence handling a busy phone and inbox
- Robust attention to detail and follow through
- A calm, kind and steady communication style
- A child safe and neuro affirming approach
- Ability to follow instructions accurately and work independently
- Organised, proactive and able to prioritise well
Experience with NDIS or working with neurodivergent families is welcomed but not essential.
Hours and Pay
- Full time preferred, part time considered
- 38 hours per week, approx. 8:30am to 5:30pm
- On site in Montrose
- Health Professionals and Support Services Award, Support Services Level 7
- Expected rate around $35 per hour plus super, approximately 12 percent above award
- Annual salary at this rate is approximately $69,160 plus super
