Are you a natural problem-solver who thrives in fast-paced environments? Do you have experience coordinating large crews, managing complex rosters, and keeping multiple sites running smoothly? Falcon Cranes is looking for an experienced Labour Scheduler and Resource Planner to take charge of workforce planning and day-to-day crew coordination across our busy crane operations.
This is not an office job where the phone sits quietly. You will be the central point of contact for crane crews, site managers, clients, and internal teams—managing rosters, handling last-minute changes, resolving staffing issues, communicating updates, and managing client and site manager expectations to keep operations moving without disruption.
Your early mornings will be busy, dealing with sick leave, managing site or crew changes, and ensuring deadlines are met for publishing the weekly schedule. Flexibility and responsiveness are critical in this role.

What You'll Be Doing
Workforce Allocation & Rostering
- Own the end-to-end workforce allocation for a large crane crew across multiple sites.
- Manage weekly scheduling and publish rosters through Employment Hero, using our existing workforce first and supplementing with labour hire as required.
- Handle daily changes including sick leave, swaps, breakdowns, weather shutdowns, and urgent staffing calls.
- Manage client and site manager expectations when changes occur, ensuring clear and timely communication.
- Prioritise full time staff allocation for maximum efficiency and profitability.
- Liaise constantly with site managers—no changes are made without their approval.
- Ensure crews are allocated based on valid HRWL and job requirements.
- Maintain accurate records of workforce movement, site instructions, and labour hire usage for invoicing.
- Build monthly workforce and utilisation reports for Operations and Finance.
Communication & People Management
- Be on the phone frequently to coordinate crews, resolve issues, and support site teams.
- Anything agreed on the phone must be confirmed in writing.
- Build strong relationships with site managers, clients, labour hire companies, and internal teams.
- Act as the central communicator between operations, safety, finance, and the crane crew.
Administration
- Reconcile weekly timesheets and ensure approvals are completed on time.
- Manage the labour hire component: liaise with labour hire companies, enter timesheets, verify invoices when billed, and maintain good relationships with preferred labour hire companies.
- Assist with onboarding, recruitment coordination, qualification tracking, and general HR queries.
- Help management with process improvements and operational tasks as needed.
What You'll Need to Succeed
- Experience in workforce coordination, crew scheduling, or labour allocation—preferably in construction, cranes, civil, or similar.
- Ability to manage high-volume phone calls, constant schedule changes, and competing priorities.
- Strong people skills and confidence to manage and support crews and site stakeholders.
- Understanding of compliance, qualifications, and safe work requirements.
- Strong administrative and systems skills (Employment Hero, timesheets, scheduling tools, or similar). Training will be provided.
- Flexibility to handle busy early mornings managing sick leave and site changes.
- A calm, organised, proactive approach to problem-solving.
