About the role
Clyde & Co are inviting applications from experienced Legal Secretaries accustomed to providing support across a team of lawyers. Sydney based, this role is offered on a full-time permanent basis. Following is an outline of the core responsibilities required. The successful candidate will provide administrative support to allocated fee earners as follows:
Answering and filtering all telephone calls received on behalf of fee earners, taking and relaying telephone messages.
Monitoring internal and external mail, email and voicemail and taking action when required.
Assist with the preparation of emails, correspondence, documents and presentations.
Maintaining paper and electronic filing systems and archiving.
Drafting email and letter correspondence and drafting and filing court documents.
Assist with diary management, arranging meetings, booking meeting rooms, organising catering and preparing any materials.
Attending to document production, including any printing, photocopying and/or collation of documents and materials.
Assist Legal Secretarial Team members and their partners and fee earners when you have capacity, they are busy or away on leave.
Client and matter
Matter management, including opening files, creating engagement letters and applying correct rates.
Attending to client and matter queries.
Assisting lawyers with various paralegal tasks including drafting of Court documents and attending to Court e-filing.
Organising medical appointments.
Downloading subpoena packets and saving as per naming guidelines.
Liaise with internal and external clients, assisting with queries and directing as appropriate providing a professional and friendly level of service at all times.
Assisting with the preparation of court documents which includes labelling, indexing, preparing files, briefs to counsel, court bundles and bibles.
Liaising with third parties (booking in IMO assessments, chasing responses to Court docs etc).
Manage the billing administration process as per the practice group requirements, which includes preparing billing guides, reviewing bills, amending narratives, preparing covering letters and preparing final bills to be sent to clients ensuring that client SLA's and specific billing requirements are followed.
Process third party invoices and disbursements.
Compile and prepare fee earner expenses.
Assist the fee earners with timesheet management, ensuring any leave days are properly recorded in the firm's time management system, Intapp Time.
Provide assistance with the preparation of client reports.
Maintain and update client contact lists and enter fee earner business development activities in the firm's client contact database, InterAction.
This job description provides an overview of the main responsibilities for an employee in the role of Legal Secretary. As a core member of the Legal Secretarial Team you will also be expected to work as part of a team providing additional secretarial assistance to other secretaries and fee earners within or outside of your allocated practice group.
To be considered for this position, you must have:
Minimum 3 years' experience as a legal secretary
A background in litigation and specifically experience in insurance litigation would be advantageous
Proficiency across Microsoft Office applications
Ability to work collaboratively in a team environment
A professional and polished presentation with clear and concise communication
A demonstrated ability to organise workloads to meet tight deadlines
Experience with billing, and
The ability to multi-task with a proactive and flexible approach to your work.
Willingness to provide assistance with all other reasonable work related fee earner requests.
In addition to any Partner reporting lines, all Legal Secretaries will report to the National Legal Support Manager.
