Position Summary:

The Marketing Coordinator will be responsible for managing the technology tools, financial processes, and logistical and creative support needs for the Asia Pacific & Japan (APJ) Regional Marketing organization. This position is a part-time, contract position working 3 full days within a week and will be based in our Melbourne office.

Tasks and Responsibilities:

- Assist with logistics/shipping documentation for domestic and international shipping.

- Manage Event Finance & Accounts Payable (AP) processes including :

- Act as liaison with AP to ensure processes align with APJ Events business needs.

- Collect budget information from finance, purchasing and event cards, and PO’s.

Manage all departmental cost center event cards for processing all field sponsorship & event payments. 

- Track down all payment discrepancies through Illumina financial systems.

- Create all departmental PO’s.

- Process sponsorships and speaker honoraria and expenses.

- Set up all new vendors (including all speakers) in AP system for payment.

- Manage customer data list.

- Consolidate all department event HCP reporting which includes verifying all submissions, uploading to quickbase and identify any potential HCPs with incomplete information.

- Support events and tradeshow logistical processes for APJ including:

- Packing, shipping, tracking, and routing of all event supplies.

- Maintain all event technology including computers, iPads, printers, scanners, projectors.

- Maintain all event supply inventory.

Preferred Educational Background:

- At least a High School Diploma or the equivalent combination of experience and education

Preferred Experience & Skills:

- Experience in SAP, Ariba, accounts/invoice management, expense tracking is highly desired.

- Basic skills in Microsoft Office with intermediate to advanced level experience in Excel. 

- Experience with logistics/shipping documentation for domestic and international shipping.

- Prior calendar management experience is highly desired.
