The Role

Within the Administration function an APS6 Executive Officer Coordination is accountable under limited direction to perform and achieve complex administrative support work within an integrated workforce. They are accountable to have and maintain a well-developed understanding of and compliance to relevant legislative frameworks, government decision-making and Defence’s mission and policy requirements.

An APS6 Executive Officer/Coordination Officer will be accountable for organising their workflow and making independent decisions relating to their area of responsibility.

They will interpret and provide advice within the administration function area based on legislation, policy and procedures. They will undertake specialist research and analysis, conduct reviews and perform procedural, clerical, administrative support work to achieve results.

The APS6 Executive Officer/Coordination Officer will coordinate and contribute to the work of a team consistent to a work plan and provide advice and assistance on methods of task completion to team members. They may be a team coach or supervise a team and be accountable to set work priorities, allocate work, and manage workflows and performance. They are expected to be capable of reviewing and developing the quality of work undertaken by others and identifying opportunities for on-the-job training within a work unit.

The APS6 Executive Officer/Coordination Officer will be required to engage and communicate with stakeholders to identify, respond and provide advice on issues to achieve work unit and Defence outcomes. They will be accountable to contribute towards ongoing self-improvement and professional development.

The duties of an APS6 Executive Officer/Coordination Officer occupation in Defence include the following (note: not all duties are required to be performed during a 12 month performance cycle):

- Monitor, coordinate and anticipate requirements for Branch input into group reporting, ministerial, meetings and committees.

- Ensure correct content, format and appropriateness of documentation submitted to the Branch Head and Directors for consideration.

- Understand and utilise with internal and external professional knowledge and experience to improve processes and work outcomes.

- Request briefs if required and liaise with other areas of E&IG;, other Groups and Services, and other Government entities.

- Liaise with stakeholders and visitors of all levels, building good working relationships and providing a point of contact for assistance and general enquiries.

- Perform complex tasks and activities, work to agreed priorities and outcomes that support the delivery of procedural, operational, administrative and business support activities across Defence.

- Consolidate and analyse data and information, coordinate and assist in the preparation of written submissions, briefs, inquiry outcomes, corporate reports, minutes and other correspondence for Defence and external stakeholders.

- Build and sustain relationships to work collaboratively with internal and external stakeholders to achieve goals and objectives.

- Take the initiative to progress work to meet business objectives.

- Resolve problems using expertise, taking the initiative to identify alternative courses of action.

- Administer finance support in line with Defence Chief Executive Instructions and maintain records management systems in line with Defence policies and procedures

About our Team

Directorate of Strategic Advisory Projects and Integration (DSAPI) is part of

Property Management Branch. DSAPI is Property Management Branch’s interface and integration Directorate, and is the centralised point-of-contact for all ongoing and emerging issues.

DSAPI is responsible for progressing integrated formal customer and stakeholder advice and communications, resource allocation, standardising project governance, assisting with risk analysis, task close-out/consolidation and opportunity development.

DSAPI also manages priorities, oversees the management of Defence’s real estate transactions and workstream interdependencies, and ensures the Branch is able to meet Defence and Whole of Government objectives.
