Administration Officer

YOUR OPPORTUNITY





Based in our South office, you will be a key team member where you will have the opportunity to add value across various functional teams within the organisation. You will have the opportunity to provide Administration assistance, whilst supporting and working closely with the Managers and team members of the various departments. There is flexibility in this role to work part time, whilst job sharing or in a capacity.





THE ROLE





This is a diverse opportunity where your solid administration experience within a similar area will add value to the ongoing success and criticality of the role. You will be part of a close team, where you will have the opportunity to collaborate with IGO personnel, along with providing information and regular support to stakeholders.





Some key tasks that you will be responsible for will be





Data entry; including uploading maintenance costs & inspection templates, and maintaining vehicles/equipment in the system





Generating field crew timesheets from their roster and compile contractor accumulated from current spreadsheets in place





Administer supplier data base, including supplier set up documentation and requesting up to date insurances from suppliers





Assist in drafting, tender and evaluation of exploration contracts as directed by procurement team members





Provide support to the procurement team in respect of recording and filing documentation and updating details in the Contract Management system





Assist in booking flights and accommodation as required





Assist in new employee and contractor onboarding and ensure all training and paperwork requirements are recorded prior to start





Manage documents and record keeping as per requirements of the relevant government legislation and departmental requirements





Raise and receipt purchase orders and process invoices in a timely manner, ensuring accuracy and compliance with Accounts Payable requirements





YOUR EXPERIENCE





Your experience within a similar role, whilst being able to operate across multiple functions will be advantageous to the success of this role. Your ability to engage with a diverse range of stakeholders at all levels whilst exercising a forward-thinking approach to your work, will allow you to drive the continuous improvement of systems and processes to ensure IGO maintains industry best





Essential qualifications and areas of experience in this role will include





Current C Class Manual Driver-s License





Advanced knowledge and exposure of Microsoft Office Suite





Excellent verbal & written communication





Ability to prioritise conflicting tasks, whilst maintaining good organizational skills





Exceptional customer service skills





The ability to develop and maintain strong relationships





Demonstrated experience meeting hard deadlines





It would be advantageous to have experience with operating software systems such as Pronto, INX and Fleetio.
