The Position: Administration Assistant, Holland Park Aged Care Holland Park Aged Care is a 102 bed facility with a great reputation in the local community for providing high quality care and services. Holland Park Aged Care is owned an operated by respected aged care provider CPSM Care who operate other facilities in the wider Brisbane and Gold Coast area. Holland Park Aged Care has a full time Administration Manager supporting the site and the management team including the General Manager and Care Managers. The Administration Assistant is an important role on site to ensure the smooth operational running of the facility. The role is full time, Monday to Friday approximately 0800-1600 with some flexibility in start and finish times.

Responsibilities / Authorities: To demonstrate an exceptional level of customer service and professionalism To assist with rostering, shift replacements and other human resource management functions in conjunction with the site management team To assist with administrative stock control and ordering as required To manage facility filing and archiving in accordance with site process and best practice. To manage facility computer databases and documents To communicate in an open and friendly manner at times with residents, staff, visitors and othersReceive and direct all phone calls and front counter enquiries. Maintain facility contact lists. Organise and schedule staff meetings and education sessions and maintain documentation folder. Assist in the quality production and distribution of facility correspondence ensuring that a high standard of accuracy and professional standard is maintained. Provide general support to residents and their representatives, visitors and staff.To maintain confidentiality of information Manage all compulsory education records. Maintain accurate personnel files and ensure that appraisals attended as required. Assist the Administration Manager with their role and responsibilitiesQualifications and experience: Valid satisfactory Criminal history check. Formal qualifications relevant to the position desirable. Appreciate the need to by highly reliable. Ability to build and maintain harmonious, collaborative and positive interpersonal relationships with others. Superior customer service skills and ability. Demonstrates optimal time management and prioritisation skills. Ability to communicate effectively, appropriately and professionally both written and orally. Demonstrated ability to adapt, change and learn. A minimum of two years experience in a similar role. High level of computer proficiency and use of applicable software applications. Comprehensive understanding and demonstration of accounting and financial administration.
