Experienced Executive Assistant (Senior Level)
About the Company
As one of the largest employers in the NT, our client who supply the electricity generation and retail services across the region are seeking an Executive Assistant for a minimum of 3-6 months to commence employment immediately and provide high quality executive level secretariat and administrative support to the Chief Financial Officer (CFO) and the Office of the CFO's business unit including effective liaison across the Corporation.
About the Role
Provide executive level administrative and secretarial services to support the CFO and the Office of the CFO team,
including scheduling of appointments and direct/fulfil requests for advice and drafting correspondence/documentation in a professional and timely manner.
Monitor incoming and outgoing correspondence/emails using the document management software, distribution to relevant personnel for action and following up as required.
Provide secretariat support in relation to meetings and conferences including agenda and minute preparation, meeting support and venue arrangements as required, including maintenance of the Office of the CFO's intranet site and coordination of travel arrangements.
Prepare and quality control correspondence and reports, including providing advice and assistance to agency staff in the preparation of all types of documentation ensuring corporate standards are met.
Carry out duties in accordance with company's safety and environmental policy, safety principles, corporate values and behaviours.
Demonstrative knowledge with a minimum of five years' experience in providing high quality executive administration at senior leadership level with the ability to manage multiple projects and meet competing deadlines, producing quality work in a high pressure environment whilst maintaining confidentiality.
Highly developed written, oral and interpersonal skills, with demonstrated experience and knowledge of Microsoft Office packages, including substantial knowledge of records management systems and recruitment processes.
Demonstrated ability to work with initiative, enthusiasm and limited supervision, as well as part of a team, and to effectively manage a range of tasks with competing priorities, including the ability to interact effectively with people of different cultures.
Proven capacity to operate effectively in a politically sensitive environment.
Knowledge of the principles and practices of procurement in relation to the Corporation's financial and human resource delegations and project management.
Previous experience and knowledge of the systems, functions and structure of a utilities environment. (desirable)
Competent in the use of RM8 (TRIM) document management system(desirable)
